ABOUT THIS JOB

Position Specific Summary

The Public Records Coordinator position at the City of Tucson's City Clerk's Office implements and supports the City’s public records request program, ensuring requests are accurately processed, tracked, and fulfilled in compliance with federal, state, and local laws. The role develops and maintains procedures, provides training to City staff, and serves as the primary point of contact for process- and system-related inquiries. Additionally, the position supports the City Records Manager in records management operations and assists with administrative functions, including elections and City Clerk’s Office operations.

Work is performed under the supervision of the City Clerk Administrator. This position exercises supervision over division personnel.

Duties and Responsibilities

1. Reviews, researches, and processes incoming public records requests and serves as a liaison among departments, staff, and requesters to clarify requests and resolve issues.

2. Monitors and tracks public records requests to ensure timely and legally compliant responses, prepares internal and external reports, and evaluates workflows to implement process improvements.

3. Supervises division personnel, reviews timecards, manages schedules, completes performance evaluations, facilitates access to resources and training, organizes and coordinates projects, and assigns and monitors daily work activities.

4. Develops, documents, and maintains Standard Operating Procedures (SOPs) and departmental Public Records Request Liaison lists, and provides training to City employees on procedures, statutes, administrative directives, best practices, and the use of the public records request management system and related software.

5. Serves as the primary point of contact for process and system related inquiries, troubleshoots routine issues, escalates technical concerns, and communicates resolutions to staff and requesters.

6. Compiles responsive records and coordinates responses for the City Clerk’s Office, Mayor’s Office, and Ward Offices, including performing email searches as needed, and supports the City’s ongoing records management program and operational needs for Mayor and Council meetings, Boards, Committees, and Commissions (BCCs).

7. Supports administrative duties, special projects, and election operations, including Election Day activities and pre- and post-election processes such as voting location logistics, affidavit processing, and worker recruitment and training.

8. Performs all other duties as assigned.

MINIMUM QUALIFICATIONS

Education:
Associate degree

Experience:
Two (2) years of relevant experience

License: A valid and unrestricted driver’s license with two (2) years of licensed driving is required.

Any combination of relevant education and experience may be substituted on a year-for-year basis.

Preferred Qualifications:

Education:
Bachelor’s degree in Public Administration, Business Administration, or a related field.

Experience:
Developing and maintaining electronic records management systems or similar software.

Leading and supporting municipal election processes and operations.

Designing and delivering training programs and instructional materials for diverse
audiences.

Skills:
Designing, maintaining, or updating websites, intranet pages, or online portals
