I’m looking for a highly organized, proactive Executive / Operations Assistant to support a dynamic and fast-moving period this year.
This is a part-time, remote-friendly role that spans a mix of executive support, project coordination, logistics, research, and operational follow-through across several parallel workstreams.
The right person is calm under pressure, detail-oriented, resourceful, discreet, and genuinely enjoys bringing structure and momentum to complex situations.
Responsibilities
* Executive support & coordination
* Calendar scheduling and operational follow-through
* International travel planning and logistics
* Vendor research, outreach, and coordination
* Maintaining trackers, timelines, budgets, and action items
* Coordinating across multiple ongoing projects and priorities
* Appointment scheduling and administrative support
* Supporting decision-making by organizing information clearly and proactively surfacing next steps
* Helping create structure, visibility, and momentum across moving pieces

* International wedding planning coordination
* Renovation and furnishing coordination for two residential projects in Europe
* Travel and logistics planning
* General personal and operational support during a high-intensity professional period

Requirements
* Strong written and spoken English
* Excellent organizational skills and attention to detail
* Strong judgment and ability to operate independently
* Comfortable managing multiple priorities simultaneously
* Highly reliable and responsive
* Able to maintain discretion and confidentiality
* Comfortable working remotely with overlap in European time zones
Berlin-based is a plus but not required.
Part-time to start, with flexibility depending on fit and workload.
