Frankfurt International School in Oberursel is looking for an organized, engaged and motivated Upper School Administrative Support Assistant effective 1 June 2026. The position holder is expected to provide administrative support in various areas (Upper School Offices and other school areas) to enable the smooth operation of divisional offices and events. Qualifications required: Excellent inter-personal skills Ability to organize tasks based on urgency Proficiency in English and German Advanced proficiency in Veracross and school database management Advanced proficiency in Google Suite and MS Office software Proven ability to prioritize complex tasks based on urgency and school deadlines Performance Responsibilities: The duties of the position will include but will not be limited to those on the list which follows: Database Management & Reporting Veracross Specialist: Serve as the primary point of contact for Upper School database queries. Academic Records: Perform regular maintenance of grades, transcripts, student reports and student data within the database. Reporting Cycle: Ensure all semester reports are completed by deadlines, coordinating the printing and correction process for Grades 6-12. Schedules: Manage the technical creation and distribution of student and teacher schedules for the start of the year and Back to School Night. Email group management for US faculty and staff. External Documentation: Coordinate all leaving paperwork for leavers and graduates, including the secure delivery of official transcripts and recommendation letters to external institutions. Management of the student files in the archive. Faculty Liaison & Trip Coordination Activities Logistics: Serve as the central administrative partner for teachers leading activities, assisting with all logistical requirements for off-site trips. Coordinate directly with the school's administrative team to secure bookings, transportation, and external compliance for school trips. Procedural Guidance: Assist faculty in navigating internal school forms and procedural requirements for student events. Divisional Operations Office Support: Provide a welcoming, front-facing presence in the Upper School offices, responding to student, parent, and colleague inquiries. Communication Hub: Manage incoming/outgoing telephone calls and assist visitors with wayfinding throughout the campus Event Management: Attend and support designated school events (new familiy orientation, university visits and fairs) to provide guidance to attendees.
