Manpower is recruiting an Administrative Assistant (M/F/X) to join one of its clients, a leading European institution based in Luxembourg.
Job Description:
* The Administrative Assistant will work in close cooperation with a team of professionals and other administrative/operational assistants, providing general administrative support including:
* Handling incoming and outgoing mail
* Reviewing documents (layout, proofreading)
* Drafting letters, notes, and forms
* Organising meetings and booking meeting rooms
* Please note: This assignment can be extended according to Luxembourgish law for a maximum duration of 1 year.

Main Responsibilities
MC Notes:
* Drafting notes and submitting them for review and approval
* Updating the database with appropriate links from the MC Area in GED
* Tender Dossiers:
* Reviewing documents (layout, proofreading, pre-filling templates)
* Publishing notices on the e-Tendering platform
* Drafting and validating reports (Prequalification and Evaluation)
* Sending notifications to candidates and bidders
* Contracts Preparation:
* Preparing contracts and annexes
* Liaising with teams for contract review
* Managing signature process and registration in ASApp and GED
* Drafting and dispatching addenda
* Audit Requests:
* Managing audit files via OneDrive/SharePoint/Mercell, MS Teams and GED
* Archiving and retrieving documents
Candidate Profile:
* Secondary level education, complemented with a 2-year certification in a relevant field (secretarial studies, business administration) OR equivalent experience
* Minimum 3 years of experience in administrative support
* Strong sense of responsibility, initiative, and organisational skills
* Ability to work accurately under pressure, meet deadlines, and adapt to priorities
* Excellent knowledge of MS Office tools (Word, Excel, PowerPoint)
* Fluent in English and French
