Job Description

As an Operations & HR Manager at Oecophy GmbH, you will play a key role in managing local administrative and operational matters across European offices while also leading HR and recruitment activities for Europe and the US markets.

You will work closely with management, international teams, local authorities, external service providers, and candidates. This role requires excellent communication skills, strong problem-solving ability, and the confidence to handle sensitive business and HR matters with professionalism and discretion.

Responsibilities

Business Coordination & Executive Support

  • Manage local administrative and operational matters across European offices.
  • Liaise with local authorities, banks, insurance providers, and other external partners.
  • Handle sensitive coordination tasks, including legal cases, compliance filings, and office-related matters.
  • Act as the key local contact to resolve operational issues efficiently.
  • Provide high-level support to management, reducing their involvement in day-to-day local matters.
  • Drive process improvements and enhance cross-border operational efficiency.
  • Support international teams with business coordination and administrative topics.

HR & Recruitment — Europe & US Markets

  • Lead and execute overseas recruitment for Europe and the US.
  • Act as the HR representative for candidate engagement and employer branding.
  • Manage end-to-end recruitment processes, including sourcing, screening, interviewing, offer negotiation, onboarding support, and probationary evaluation.
  • Handle sensitive HR matters, including salary negotiations, labor law compliance, and employee relations.
  • Ensure alignment with local labor laws, business practices, and cultural expectations.
  • Support management and international teams on HR-related topics, policies, and procedures.
  • Maintain accurate and up-to-date HR and operational records.

Requirements

  • Fluent in German is a must.
  • Strong English communication skills are required.
  • Based in Germany Berlin.
  • Proven experience in business coordination, executive assistant, HR, recruitment, or a related role.
  • Strong understanding of the European business environment and labor regulations.
  • Ability to handle cross-functional responsibilities across operations and HR independently.
  • High level of ownership, discretion, reliability, and problem-solving ability.
  • Strong interpersonal skills to engage effectively with internal stakeholders, external partners, and international candidates.
  • Attention to detail and the ability to handle confidential information with professionalism.

Preferred Qualifications

  • Experience in international or cross-border companies.
  • Exposure to both operational coordination and talent acquisition.
  • Experience working with European and/or US recruitment markets.
  • Familiarity with local administrative, compliance, or office management processes.
