The European Molecular Biology Laboratory (EMBL) is Europe’s flagship research organisation for the life sciences, with more than 80 independent research groups across six sites: Heidelberg (HQ), Barcelona, Hinxton, Grenoble, Hamburg, and Rome. Being one of EMBL’s long-standing training activities, the EMBL International PhD Programme (EIPP) offers talented students from around the world the opportunity to pursue a PhD in the life sciences within EMBL’s interdisciplinary and collaborative environment. The programme supports over 200 PhD students across all EMBL sites and provides world-class training, mentorship, and career development support. The Graduate Office plays a central role in the coordination of the PhD programme – from managing graduate recruitment and admissions, to supporting students throughout their academic journey until graduation. About the Graduate Office Trainee role As a trainee in our team, you will work closely with the Programme Officer for Graduate Recruitment and the Graduate Office colleagues. This position offers a unique opportunity to gain hands-on experience in academic coordination, with a strong focus on graduate recruitment, assessment, and student support. It is ideal for someone at the start of their career who is interested in talent acquisition, science management or higher education administration. Key responsibilities will include: Provide support in PhD recruitment processes from start to end, including: Respond to applicant enquiries in a timely and professional manner Handle applications, assist with interview scheduling and onsite visit coordination (including travel and campus logistics) Support post-recruitment tasks, such as processing candidate travel claims and assisting with onboarding activities Assist with responding to practical queries from enrolled PhD fellows (e.g. registration, semester fee reimbursements) Provide logistical support for training activities and Graduate Office events The role also offers the opportunity to take ownership of a small, focused project that aligns with both the team’s current priorities and your own interests. This would offer a chance to contribute meaningfully to our work, develop new skills, and take responsibility for driving a piece of work forward with guidance and support from the team. What you bring to the role You are a student (Bachelor's or Master's) or recent graduate with a background in education management, human resources, the life sciences, or a related field You are interested in how young talent is identified, selected, and supported in an international research setting You are organised and proactive, and feel confident managing administrative tasks with care and attention to detail You enjoy working with people and are comfortable communicating with diverse audiences You enjoy learning new things and contributing to a supportive team environment You may have previous experience in talent acquisition, graduate admissions, or student support services.
