This role can be based in or around Berlin, Cologne, Frankfurt, Stuttgart, or Munich. Remote work is supported, with occasional travel as needed.

You’re passionate about events and get a thrill out of exceeding clients’ expectations. You love working with people and it’s mutual because people love working with you. You’re personable and approachable with fantastic listening skills, but you’re also a planner with ninja-level organizational abilities and a knack for managing multiple priorities and deadlines.

In this role, you will work exclusively on one of our largest pharma clients delivering excellence in delegate management for complex, high-volume pharma events.

What you'll be doing

* Create an event management database and all related travel booking including the issuance of documents for all participants
* Keep participant lists updated at all times
* Keep our customers updated on progress
* Generate emailing’s for the event: invitation, follow-up, final confirmation emails
* Propose travel itineraries to participants
* Provide support on day of event and update attendance information post event
* Producing reporting and summaries on event participation and logistics
* Ensuring strict adherence to healthcare regulations (Germany and global)
* Using Excel for advanced data management (including pivot tables, formulas, and VLOOKUPs)

Must haves

(We really mean it. Candidates who do not meet the following criteria will not be considered.)

* 5+ years of experience as a delegate manager, travel agent, or event logistics specialist
* Native-level German and excellent English (spoken and written)
* Deep knowledge of German and international healthcare compliance regulations
* Proven experience managing logistics and registration for pharma events
* Hands-on, proactive mindset and a structured way of working
* Advanced Excel skills, including formulas, pivot tables, and VLOOKUPs
* Experience in large-scale agency environments with high-volume projects
* Strong communication and summarisation skills

Nice to haves

* Proficient in either event management database such as CVENT, Atrium, Evenium or KEY4
* Organized and rigorous
* Skilled at managing priorities and taking a proactive approach to problem-solving
* Great listening skills and able to digest information
