At Shiftmove, Workplace Experience plays a critical role in enabling productivity, engagement, and connection across teams and locations. By ensuring functional, welcoming, and well-run workspaces.
As Workplace Experience Manager, you will take ownership of day-to-day execution and ensure continuity across all workplace-related activities. This role sits at the intersection of operations, employee experience, and leadership support, and is highly hands-on, with a strong focus on prioritisation, reliability, and delivery.
You will work closely with employees, leadership, and external partners to ensure smooth office operations, consistent workplace standards, and well-executed employee experience initiatives across locations.
Your Responsibilities
* Own day-to-day workplace operations in Berlin, including vendor coordination (facilities, cleaning, suppliers)
* Coordinate office logistics across DACH locations (including Poland and Zurich), with occasional travel
* Act as the primary point of contact for employees and stakeholders on workspace-related topics
* Plan and deliver employee experience initiatives, including events, onboarding moments, and culture activities
* Ensure offices support hybrid work through functional, welcoming, and well-organised environments
* Provide Executive Assistant support to the management team (calendar management, meeting preparation, follow-ups, action tracking)
* Manage budgets, invoices, travel tools, and operational documentation
* Prioritise requests, track decisions, and ensure reliable execution across recurring and ad-hoc tasks
What Success Looks Like (First 6 Months)
* Ensure seamless continuity of the Workplace Experience function, with no operational gaps
* Establish a clear prioritisation and execution rhythm across Workplace Experience and EA tasks
* Improve structure, documentation, and task tracking to support clarity and scalability
* Build strong trust with leadership through reliability, discretion, and disciplined execution
* Reduce reactive work by anticipating needs and planning ahead
What You Bring
* Experience in Workplace Experience, Office Management, or Executive Assistant roles
* Strong execution and prioritisation skills in fast-paced environments
* Experience working with external vendors and service providers
* Confidence supporting leadership with discretion and reliability
* A structured, proactive, and solution-oriented mindset
* Comfort working across locations and cultures
* Fluency in English and German
