We are seeking a highly skilled and organized professional to fill the role of Administrative Assistant and Office Manager. This position requires exceptional time management, communication, and problem-solving skills.
The ideal candidate will have a proven track record in providing administrative support, managing calendars, preparing presentations, and coordinating travel arrangements. They must be able to work independently with minimal supervision and demonstrate a high level of professionalism in all interactions.
Key Responsibilities:
* Coordinate and manage calendars for the senior management team.
* Prepare agendas, presentations, and materials for meetings and events.
* Take and distribute meeting minutes as needed.
* Assist with travel bookings, expense management, and internal event coordination.
Administrative Support:
* Provide general administrative tasks such as filing, scanning, data entry, and document formatting.
* Greet visitors and ensure a welcoming environment.
* Support office supply inventory and ordering.
* Handle incoming/outgoing courier and postal services.
Requirements:
1. Bachelor's degree or equivalent.
2. 3-5 years of experience as Executive Assistant, Administrative Assistant, or Office Manager.
* Fluency in English and French.
* Strong project management and organizational skills with good knowledge of business administration.
* Manage confidential information with utmost discretion and integrity.
* Proficiency in Google Workspace tools and collaboration tools (Slack, etc.).
* Analytical Thinking, Problem Solving, Organizing, and Prioritizing.
* Attention to detail, effective communication, flexibility, and agility.
* Excellent communication, interpersonal, and organizational skills.
* Preparation and presentation skills for letters, presentations, and reports.
* Ability to work in a fast-paced international environment.
