The University of Freiburg seeks to fill the position of Office Manager for
Administrative Support of the Graduate Research Training Group FORSCALE as soon
as possible. (part-time position, 50%, TV-L E9a)
The international DFG-financed Research Training Group FORSCALE at the University of
Freiburg, partnered with Canadian universities seeks an Office Manager.
The position is limited until 30 September 2030, with an option for extension dependent on a
potential future funding extension. The office manager holds a central position in managing
the administrative parts of the training group for up to 20 doctoral students. The position is
available immediately, but should be filled no later than 15 October 2025.
Your responsibilities will include, but are not limited to:
* Organization and administration of all aspects of the Graduate Research Training Group in
close cooperation with the scientific coordinator and the FORSCALE management team.
* Financial accounting and preparation of financial statements/reports
* Preparation and processing of business travel arrangements
* Processing applications for the employment of student/research assistants
* Supporting the organization of events of the Graduate Research Training Group, such as
conferences, seminars, and summer schools
* Internal and external communication in English
* Update of the program's website
* Support for visiting scholars
Your essential qualifications should include:
* A completed vocational training in administration or business (e.g., administrative assistant,
office management or a comparable qualification) or long-standing experience in a similar
work environment
* Proficient use of the Microsoft Office suite
* Excellent command of German and English, both written and spoken
* Strong organisational skills, communication skills, and a high degree of teamwork
Desirable qualifications include:
* Several years of experience in university administration, ideally including the administration
of collaborative projects,
* Knowledge of SAP
* Experience working with content management systems
* Knowledge of French would aid communication with Canadian partners, where appropriate
* Work in multi-national environments
