Position Summary
We are seeking a detail-oriented and proactive Service Center Operations Coordinator to be the operational backbone of our European Service Center. In this vital role, you will ensure the smooth, efficient, and compliant daily running of the center. You will manage logistics, warehouse operations, on-site safety, and external communications, providing crucial support to our technical and service teams.
Key Responsibilities
1. Logistics, Warehouse & Inventory Management
* Manage the end-to-end process for spare parts and complete units: receiving, inspection, storage, picking, packing, and shipping.
* Oversee warehouse layout, shelving planning, material labeling, and batch/serial number tracking.
* Supervise and coordinate logistics suppliers (couriers, freight carriers) for timely deliveries across Europe.
* Conduct regular stock counts, ensure system-record accuracy, and report discrepancies.
* Fulfill transfer and shipping requests for agents and service points.
2. Service Center Daily Operations & Coordination
* Maintain and coordinate the daily management of workspaces, tools, and equipment.
* Support service engineers with machine routing, work order preparation, and material staging.
* Manage the usage log and availability of repair tools and test equipment.
* Handle visitor appointments and on-site reception for agents, suppliers, and officials.
3. Safety, Compliance & External Communication
* Perform daily safety checks, conduct basic safety briefings, and inspect fire-fighting equipment.
* Liaise with property management, local authorities, and government agencies to ensure compliant operations.
* Monitor compliance for hazardous materials, battery transportation, and packaging regulations.
* Maintain and update the Service Center's safety policies and procedure documentation.
* Act as the primary contact for necessary communication with customs, property management, and other external parties.
4. Administrative Support & Reporting
* Manage fixed assets and submit procurement requests for consumables.
* Facilitate smooth information flow between repair, technical support (FAE), and parts teams.
* Assist in the local implementation of HQ service processes (systems, workflows, documentation).
* Maintain accurate logistics records, inventory reports, and incident logs.
* Prepare and submit Weekly/Monthly KPI reports on center operations and support management in driving efficiency improvements.
Qualifications & Requirements
1. Basic Requirements
* College diploma or Bachelor's degree. A focus on Logistics, Supply Chain, Operations Management, or a related field is preferred.
* 1-3 years of hands-on experience in logistics, warehouse, or operations coordination. Experience within a service/repair center environment is a significant advantage.
* Excellent organizational skills and a strong execution mindset, capable of effectively multitasking.
* Ability to read and process basic documentation in English and German (required for European operations).
Required Skills
* Practical knowledge of warehouse operations (WMS), logistics processes, and inbound/outbound procedures.
* Proficiency in using Microsoft Excel, ERP systems, and service ticketing platforms.
* Good communication skills to collaborate effectively with logistics providers, agents, and property/government representatives.
* Strong safety awareness with the ability to implement and adhere to safety protocols.
Preferred Qualifications
* Previous experience in after-sales operations for consumer electronics, robotics, or mechanical products.
* Existing experience working with local German logistics suppliers.
* A valid driver's license. Forklift certification is a plus (can be obtained after hiring).
