Your mission You’ll take full ownership of our CRM and turn HubSpot into the system that helps everyone work smarter, while ensuring startups and customers have a consistently great experience with us. You’ll build the strategy, the setup, the data foundation, and the internal buy-in needed for long-term customer success and retention. CRM strategy & structure Define how and why we use HubSpot: vision, setup principles, governance, and priorities Design scalable CRM structures that support customer retention and long-term relationship building Translate customer journey and business needs into a clean CRM architecture (pipelines, lifecycle stages, properties, permissions) Implement APIs to external tools, especially for data processing automation / AI agents Implementation & operational ownership Lead the HubSpot implementation end-to-end (setup, roll-out, continuous improvement) Own day-to-day operations of HubSpot: configurations, workflows, automation, user support, and documentation Shape and optimize processes so startups have a smooth, high-quality experience from first touch to long-term engagement Train and enable internal teams to use HubSpot confidently Track HubSpot usage across team members and regularly follow up to ensure HubSpot is used consistently Data management, reporting & insights Own data quality and governance (structure, hygiene, consistency, and reliability) Build reporting and dashboards—and turn data into clear, actionable recommendations Set up and run analyses to measure performance across funnels, retention, and engagement Ensure compliance with GDPR and other relevant legal frameworks Campaigns & customer voice Manage CRM-based campaigns (segmentation, targeting, execution, and tracking) Establish a feedback loop through Customer Experience surveys and insights and convert learnings into improvements Your profile This role needs someone who can think strategically and execute hands-on. You’re comfortable being the “go-to person” for HubSpot, but also strong enough to lead change: you’ll challenge habits and create clarity where things used to be messy. experience in working with a CRM (implementation, administration, workflows, reporting); Hubspot is a plus Experience setting up workflows to move prospect data into a CRM cleanly and reliably. Excellent analytical skills: you can work with data, spot patterns, and make sound decisions from it Strategic planning ability: you can design a roadmap and prioritize what creates real impact High motivation and influence: you can get people on board and keep adoption high Good understanding of GDPR and legal environment concerning data handling and privacy Empathy and strong communication: you understand stakeholder needs and translate them into practical solutions Nice to Have: Experience in a startup or fast-paced scale-up environment Experience with Hubspot Data Hub or similar tools (e.g. Salesforce Tableau) Experience working with universities, research institutions, or academic ecosystems Why us?
