Logistics Coordinator

Job Summary
The Logistics Coordinator is responsible for managing and coordinating end-to-end logistics operations, including import/export processes, transportation arrangements, and documentation control. This role ensures timely and cost-effective delivery of heavy machinery and spare parts, while maintaining compliance with international trade regulations and supporting business operations across the region.
Key Responsibilities
* Coordinate domestic and international transportation arrangements (road, sea, air), ensuring timely delivery and real-time tracking of shipments
* Manage full-cycle import and export processes, including preparation, verification, and submission of all required documentation (commercial invoices, packing lists, customs declarations, certificates, etc.)
* Monitor shipment status and proactively resolve logistics issues to minimize delays and operational disruptions
* Maintain accurate records of all logistics activities, including import/export data, transportation logs, and cost tracking
* Collaborate closely with sales, service, warehouse, and finance teams to ensure smooth order fulfillment and delivery execution
* Optimize logistics plans and routes to improve efficiency and reduce transportation and handling costs
* Evaluate, select, and manage logistics service providers (freight forwarders, carriers, customs brokers), ensuring service quality and cost competitiveness
* Handle logistics cost control, invoice verification, and payment reconciliation, ensuring accuracy and compliance with internal procedures
* Ensure compliance with international trade regulations, customs requirements, and company policies
* Support insurance handling and claims processes related to transportation damages or losses
* Assist in continuous improvement of logistics processes and systems
Requirements
* Bachelor’s degree in Logistics, Supply Chain Management, International Business, Business Administration, or a related field
* Proven experience in logistics operations, particularly in import/export and transportation of heavy machinery or industrial equipment
* Solid understanding of international trade processes, customs clearance, and logistics documentation
* Strong organizational skills with the ability to manage multiple tasks under pressure and meet tight deadlines
* Excellent communication and interpersonal skills, with a collaborative and proactive working style
* Strong problem-solving ability and attention to detail
* Experience in working with logistics service providers and managing vendor performance
* Proficiency in Microsoft Office (especially Excel) and email communication; experience with ERP systems is a plus
* Fluent in English (written and spoken); additional European languages are an advantage
Preferred Qualifications (Nice to Have)
* Experience in construction machinery, heavy equipment, or industrial sectors
* Familiarity with Incoterms, international shipping regulations, and customs compliance
* Experience in multinational or cross-border business environments
Additional Information
* This position may involve coordination across multiple countries and time zones
* Occasional business travel may be required
