How you will create an impact:
9. Independently managing the calendars and appointments of the General Counsel and Chief Compliance Officer is your primary responsibility, including coordinating both internal and external meetings, anticipating potential issues and proactively proposing solutions.
10. Serving as a central point of contact for internal and external stakeholders, you handle correspondence and direct inquiries to the General Counsel and Chief Compliance Officer.
11. In collaboration with our Events Team and local Office Management, you organize team events & meetings as well as in-person meetings with our external advisors.
12. Your tasks include complex travel organization, including flight and hotel bookings, as well as transportation and visa arrangements, along with coordinating expense reports.
13. You maintain close contact with key personnel from internal departments, such as Finance, HR and IT, as well as our Governing Bodies, like the CEO Office, the Board, the Executive Committee, and proactively collaborate with them to address and resolve issues that arise.
14. You apply your legal or professional-services experience to build, standardize, and continuously improve scalable, auditable GC/CCO processes.
15. During particularly busy periods, you also support other team members with minor tasks.
About you:
16. You have successfully completed a training course in office management, management assistance, or a similar degree.
17. A legal background would be preferable but not required.
18. You have around 3 years of professional experience on C-level.
19. You have no difficulties in using MS Office and GenAI tools as well as SAP.
20. You are fluent and eloquent in English (and preferably in German), both verbally and in writing.
21. You are aware of the high sensitivity of the information you handle, emphasize discretion, and maintain confidentiality.
22. Your exceptional communication skills, service orientation, coupled with a strong desire to learn, distinguish you.
23. As an organizational talent, you possess an independent and structured work approach combined with quick comprehension and flexibility.
24. Your attentiveness enables you to anticipate e.g., scheduling issues which you proactively address and resolve, considering the individual preferences of the C-level executive.
