As a receptionist, you will be the first point of contact for colleagues, guests, and third-party suppliers arriving on site. Your role is to ensure they feel warmly welcomed and respected from the very first moment at our WHS.
Reporting to the Facility Manager, you will handle a range of administrative tasks that contribute to maintaining a secure warehouse environment. This includes tracking access for employees, visitors, and both internal and external service providers.
You will be connected to the automated access gate system for truck drivers and will manage exceptions as per the BCP process. Additionally, you will be responsible for greeting and hosting visitors upon their arrival.
You will also be responsible for keeping enough supplies and PPE (like safety gear) on site, giving them out to staff when needed, and keeping clear records of everything.
Finally, you will support the business with reporting and daily tracking tasks using the provided tools (web-based systems or Excel).
Your Main responsibilities
• Managing the daily employee, guest and 3rd party supplier registration at the reception between 6am and 10pm from Monday through Saturday (2 shift operation which can increase to 3 shifts in a later stage)
• Welcoming of guests and customers including the handling of formalities (safety instructions, site rules, ticket issue, informing the host, escorting to meeting rooms etc.)
• Prepare meeting rooms for scheduled meetings, including restocking drinks, setting up necessary equipment, and providing guest Wi-Fi access.
• Various administrative tasks:
1. Handing out and collecting safety vests and shoes
2. Receiving and sending mail and courier packages, including emptying mailboxes daily and accepting or sending out courier deliveries
3. Managing the site’s main phone line: answering calls, forwarding them, and taking messages when needed
4. Taking care of the pool vehicle: handling reservations, issuing and returning keys and logbooks, arranging cleaning, and booking service appointments
5. Ordering office supplies and safety stock
6. Organizing catering and coordinating delivery times
7. Supporting site events like Global Safety Day and helping with data entry in company systems
Who we are looking for
• Previous Experience in an administrative role
• Good level of German and English (written and verbal)
• Confident computer skills – MS office (Excel, outlook, and Word)
• Effective communication skills and interpersonal skills
• Sense of accuracy and correctness
• Pro-active, professional, and hands-on mentality
• Flexible to work in shifts (incl. night shifts, weekends, and Bank holidays if req.)
• Ability to manage stress
