Senior Event Coordinator Role:
The Senior Event Coordinator role is for someone with 4+ years of previous event experience or fast-paced customer service experience looking to utilize and grow their operational and leadership skills within the Events Industry. The primary focus of this role is to provide support to the Operations department. Under the supervision of the Global Head of Events, the Senior Event Coordinator will coordinate all Speaker, Sponsor, and Delegate communications, plan and execute event logistics pre, during, and post-event, manage and maintain event budgets, event timelines, and key deliverables. The Senior Event Coordinator will oversee all event attendees, manage delegate attrition, attendee satisfaction, and maintain positive relationships with sponsors and contractors.
* There is a travel requirement for this role, so all candidates must have the ability and willingness to travel within Europe up to 10 times a year.
* Candidates must have the ability to work extended hours on their feet and lift up to 10-20 lbs (during scheduled events).
* This is an in-person position with remote work flexibility up to 7 days a month on Mondays & Fridays after 6 months of employment.
* Working hours: Normal business hours are 8:30 a.m. to 5:00 p.m., Monday to Thursday, and 8:30 a.m. to 4:30 p.m. on Friday.

Key Responsibilities:
70% Event Preparation and Team Management:
* Act as the primary liaison for delegates, speakers, and sponsors post-sale, ensuring clear communication, collection of collateral, and timely delivery of all deliverables.
* Lead and oversee a team of 2–3 Event Coordinators, ensuring all deliverables are completed accurately and on schedule.
* Lead weekly internal performance meetings with each team member, providing feedback, coaching, and accountability against event deliverables and timelines.
* Work closely with the EU Head of Events to ensure strong, consistent event execution across the portfolio.
* Step into complex or escalated situations, coaching team members on venue sourcing, contract negotiation, and managing challenging stakeholders.
* Make sound decisions through a commercial and revenue-focused lens, balancing cost control, event quality, and revenue outcomes.
* Own and maintain master event databases across Salesforce, Google Drive, and Excel, ensuring data accuracy and conducting weekly audits.
* Proactively identify and escalate risks that could impact event execution or financial performance.
* Serve as the primary venue liaison, managing logistics, setup, and negotiating hotel and third-party vendor contracts (e.g., A/V).
* Respond promptly and professionally to inbound inquiries across phone, email, and text.
* Collaborate cross-functionally to ensure all conference materials are submitted, produced, proofed, and delivered on time.
* Prepare and manage event budgets, reconcile post-event costs, and review invoices for accuracy.
* Complete minor website updates using WordPress.
* Manage the onsite 1-to-1 meeting scheduling process, coordinating up to 500 onsite meetings via Salesforce and Excel.
30% Onsite Execution:
* Own and oversee the on-site event agenda, ensuring all activities are sequenced, resourced, and executed effectively, with clear delegation of responsibilities across the onsite Generis team.
* Lead onsite staff briefings and operational meetings, assigning roles, responsibilities, and timelines to ensure clarity, accountability, and smooth execution throughout the event.
* Oversee delegate and sponsor registration and check-in operations, ensuring processes, materials, and staffing are prepared in advance and executed to a high professional standard.
* Act as the senior point of contact with hotel and venue management, proactively managing all onsite requirements including food and beverage service, room allocations, AV, lighting, temperature, and overall event ambiance.
* Monitor and manage delegate attrition and attendance trends, using Salesforce to track registrations and proactively address risks that may impact event performance.
* Oversee and ensure the successful execution of delegate and sponsor 1-to-1 meetings, intervening where needed to resolve issues and maintain a high-quality experience.
* Provide overall operational oversight and issue resolution onsite, stepping in as required to address escalations and ensure event objectives are met.
Skills Desired:
* Professional proficiency/fluency in English language
* Strong command of German language
* 4+ years of event coordination experience, particularly in conferences, with ownership of complex, revenue-focused events.
* 5+ years of intermediate to advanced Excel experience and proficiency with Salesforce, Google Drive, and WordPress.
* 1+ year of people management experience, including KPI tracking, coaching, and leading a high-performing team.
* Exceptional ability to review, negotiate, and manage contracts with a commercial lens.
* Confident in handling challenging conversations with key stakeholders and resolving escalations.
* Experience leading and training new team members, ensuring accountability and professional growth.
* Highly organized with strong time-management skills and the ability to multitask effectively under pressure.
* Excellent professional and diplomatic communication skills, both written and verbal.
* Strong ownership mindset, able to supervise, assess risk, and follow projects through to completion.
