Maintenance Planner
to join our Team! This is a hybrid role, offering a combination of remote and in-office work, based out of one of our office locations in either Leer, Germany or Aberdeen, UK. We will also consider candidates within Europe with availability to frequently visit our offices.
The
Maintenance Planner
is responsible for the efficient planning, scheduling, and coordination of maintenance activities across the company’s offshore support vessels. This role also ensures accurate, secure, and up-to-date technical data management within the company’s Computerized Maintenance Management System (CMMS). The ideal candidate combines technical knowledge, analytical skills, and database administration experience, ideally within the offshore marine industry.
Key Responsibilities: Ensuring 100% data accuracy and integrity within the CMMS. Timely planning and scheduling of all preventive and statutory maintenance tasks. Supporting uninterrupted vessel operations by working with the Technical Superintendents and Technical Excellence team to ensure that planned maintenance is completed without delay. Maintaining and verifying all vessel maintenance records, job histories, and documentation are up to date for inspection and compliance. Supporting compliance with ISM Code, Class, Flag State, and internal company requirements. Ensuring full traceability and documentation of maintenance activities, spare part usage, and system updates. Undertake job create, spare parts creation within the CMMS database. Ensure the CMMS database remains concise, consistent and fit for purpose through regular audits and checks. Coordinate maintenance schedules with vessel superintendents, chief engineers, and technical excellence team to minimize operational disruption. Generate weekly, monthly, 90- and 180-day plans highlighting the upcoming maintenance requirements across the fleet and individual vessels. Monitor maintenance execution and generate reports to track performance, overdue tasks, and system compliance. Support procurement by linking spare part requirements to maintenance jobs and planning inventory usage. Ensure technical documentation, certificates, and maintenance records are kept current and audit-ready within the CMMS and associated filing systems. Provide CMMS training and support to shipboard and onshore technical personnel. Participate in class and flag inspections, technical audits, and assist in preparing compliance reports. Ensure backup procedures, cybersecurity protocols, and data recovery plans for maintenance data are in place and regularly tested.
Qualifications: Minimum 3 years of relevant experience in maintenance planning and database administration, ideally in offshore or marine industries. Hands-on experience with vessel technical systems and regulatory requirements (IMO, SOLAS, ISM). Proficiency in CMMS platforms. Familiar with business intelligence (BI) tools or willingness to learn. Strong MS Excel skills; knowledge of SQL or database querying is an advantage. Understanding of vessel maintenance cycles, class requirements, and spare part management. Strong organizational and time management skills. Analytical thinking with attention to detail. Effective communication and teamwork across technical and operations departments. High level of integrity, especially in handling data and records. Excellent verbal and written communication skills in English. German is a great plus.
