Job Title: Executive Assistant
The role of an Executive Assistant is to provide administrative support to senior executives, ensuring the smooth operation of their office. This involves a range of tasks, including scheduling appointments, managing calendars, and coordinating travel arrangements.
Key Responsibilities:
* Administrative tasks such as general assistance tasks, coordination of incoming and outgoing mail, etc.
* Organizing and taking minutes of internal and external meetings as well as managing the calendar.
* Providing support in the preparation of documentation for meetings
* Managing, organizing and optimizing work processes
* Working closely with staff and ensuring that processes run smoothly and that internal guidelines are respected
* Ensuring and coordinating communication between different departments of the company
* Ensuring the interface with the various shareholders and service providers of the company
* Supporting and participating in special tasks and projects
Requirements:
* Degree in office or project management or comparable business degree
* Preferably first work experience in a similar position in the assistance segment or in project work
* Excellent knowledge of Outlook, Word and Teams as well as confident handling of the other MS Office applications
* Strong organizational skills and enthusiasm for working with people
* Motivation and personal commitment as well as a high affinity for IT
* Autonomous and reliable working attitude as well as strong analytical skills
* Outstanding teamwork and communication skills
* Fluent written and spoken German and French, English and Luxembourgish desirable
