We are seeking a highly organized and proactive Personal Assistant (PA) to support the General Manager (GM) Germany in optimizing their daily operations. In this role, you will play a pivotal role in handling administrative and organizational tasks, allowing the GM to focus on strategic business execution. Key Responsibilities:
1. Provide comprehensive administrative and secretarial support to the General Manager, ensuring effective time management and smooth day-to-day operations.
2. Serve as the first point of contact for internal and external parties, ensuring professional communication and swift resolution of inquiries.
3. Manage the GM’s electronic calendar, assess priorities, and rearrange appointments as needed to maximize efficiency.
4. Coordinate and secure signatures for important documents, ensuring timely execution.
5. Organize and coordinate meetings, events, and conferences. Ensure the GM is fully prepared by managing agendas, pre-meeting briefings, and meeting minutes.
6. Arrange travel, transport, and accommodation, including travel expense reports and absence planning.
7. Manage purchase orders, invoices, and follow-up actions to ensure smooth operations.
Your Profile:
8. Proven experience in office management and administrative tasks, including expertise in electronic diary management.
9. Proficient in MS Office applications (Word, Excel, PowerPoint) with the ability to learn company-specific software quickly.
10. Skilled in meeting and event planning, including logistical coordination and preparing detailed agendas.
11. Exceptional interpersonal and communication skills, with the ability to engage effectively with senior leadership, teams, and external stakeholders.
12. Strong organizational skills with the ability to handle multiple tasks and prioritize effectively.
13. A proactive approach to work, with the ability to manage changing priorities and solve problems independently.
14. Fluency in both German and English is required to ensure seamless communication within the EMEA region and beyond.
15. Demonstrates tact, diplomacy, and loyalty when managing confidential information and sensitive issues.
