Your Responsibilities
* First contact point for researchers, suppliers, students and volunteers involved in experimental research
* Interface between researchers and central services for finance-related requirements and regulations and HR-related regulations
* Assisting the Director and Council members in the coordination and optimal use of equipment and facilities
* Ensuring transparent communication internally and externally
* Ordering, reception, monitoring and dispatching of goods
* Tracking expenses
* Dispatch room access requests
* Room bookings
* Welcoming volunteers involved in tests
* Catering organisation
* Event organisation
* Preparing meeting minutes
Your Profile
* Proven experience as an Administrative Assistant
* Strong service-oriented and problem-solving mindset
* Diplomacy and communication skills
* Sense for organisation and detail
* ICT skills (EXCEL, SAP an asset)
* Flexibility to react to urgencies and to interact with a large variety of people
* Excellent communication skills, service oriented, team player
* Professional and collegial, reliable, can do attitude
* Business English and French, knowledge in German is an asset
