Hauptaufgaben Performs a variety of administrative functions and duties in a bilingual environment to support the Commander and Command Staff, including working with section chiefs, local national civilian personnel, and TDY personnel. Work requires organizational and prioritization skills of workload processes. Serves as the focal point for receipt and review of incoming tasks, projects, correspondence and other communications or materials such as regulations, changes to policy and procedures, etc. Organizes office operations to include management of office administrative procedures and operations, logging of in-coming and out-going correspondence, development of SOPs for areas of responsibility, and Command Staff Policy letters. Responds to routine, nontechnical matters based upon knowledge of the mission, policies, and procedures. When necessary, determines coordination required. Establishes suspense dates and tracks tasker and suspenses assigned to office personnel (permanent party and TDY personnel); brings to supervisor's attention those that cannot be met by requested date or when there is conflict. Coordinates with designated action officers for needed modifications or in their absence, ensures appropriate coordination and periodic updating of required data for reports, briefings, conferences, etc. Receives calls, greets visitors, and directs them to the appropriate individual or office. Personally handles many requests for information and assumes responsibility for ensuring that visiting dignitaries or high ranking officials or issues requiring considerable discretion and tact are referred to supervisor and that other inquiries are directed to appropriate staff members. Advises the Commander on technical aspects of office administration and makes recommendations; interprets regulations, procedures, and policies relative to administrative actions. Briefs incoming personnel on administrative procedures. Establishes and maintains office files in accordance with regulatory requirements to enable quick and efficient retrieval of information. Accurately purges files or performs other file disposition actions in accordance with established procedures. Responsible for ordering DA publications. Ensures required publications are readily available. Maintains calendar for the Command Staff, and schedules appointments and meetings in accordance with instructions, coordinating with Command Staff as necessary. Reschedules appointments when it is clear that the Command Staff member will not be able to make all commitments. Contacts other staff to attend meetings in lieu of Command Staff member when necessary. Ensures office personnel comply with maintaining an accurate calendar for all office operations and activities. Prepares, coordinates, and manages a compilation of visits and events, and on-going activities. Ensures all parties are fully aware of upcoming/ongoing events. Makes calendar available to supervisor and others to minimize conflicts in scheduling. Assists in the resolution of conflicts pertaining to schedules. Makes travel arrangements for the Command Staff, both OCONUS and CONUS to include security issues, airfare, hotel reservations, and vehicle rental. Develops detailed itineraries. Prepares and controls travel orders for travelers. Assists each traveler with funding requirements. When TDY is in progress, maintains contact with travelers, coordinates changes in travel, and updates itinerary. Assists Command Staff with the preparation of TDY voucher requests, and reviews TDY voucher requests for compliance with statutory, regulatory, and command policies. Submits TDY vouchers for payments and processing of claims. Prepares, reviews, revises, and updates command briefing material including text information, visual aids and statistical data. Reviews for accuracy and translates Fact Sheets and other correspondence generated by the Command Staff. On occasion, as required, performs same for officials of subordinate commands. Makes editorial reviews of all material submitted to Command Staff for proper format, clarity, and accuracy of content. Designs forms and formats tailored for specific requirements of the Command Staff. Reviews outgoing correspondence prepared by others for procedural and grammatical accuracy, conformance with general policy, and factual correctness. Advises the author of any deviations or inadequacies. Responsible for extensive, formal, internal and external coordination. Performs other duties as assigned.
