The ideal candidate has previous experience as an Executive Assistant, demonstrating exceptional organisational skills and the ability to support high-level executives effectively. This role presents an exciting opportunity for someone motivated to work closely with senior leadership and contribute to the smooth operation of our corporate functions. This is an in-person first role with office attendance required 4 days/week. You will: Manage the calendars for three Executive Committee members: Chief Transformation Officer, Chief Legal & Compliance Officer and Chief Operating Officer & MD, including coordinating their schedules and travel arrangements Coordinate corporate cadence together with the Chief of Staff, including ExCo meetings, Leadership meetings, KPI meetings, and other key corporate forums Work closely with the Global Workplace Manager to support various office-related functions to ensure smooth day-to-day operations Support project coordination across the executive team's initiatives Serve as a key liaison between the executives and internal/external stakeholders Prepare materials, agendas, and follow-up documentation for meetings and presentations The next Moonfarian: Prior experience as an Executive Assistant supporting C-level or senior executives Full professional competency in German and English (written and verbal communication skills) Previous experience coordinating meetings, corporate cadence or project management is a plus The ability to listen, ask the right questions, and communicate effectively Exceptional attention to detail, strong organisational and time management skills, and ability to prioritise competing demands Adaptable and able to thrive in a fast-paced and dynamic work environment Self-motivated and driven, with a proactive and results-oriented approach Discretion and professionalism when handling confidential information Strong stakeholder management skills and ability to build relationships across all levels of the organisation If you feel you do not meet all of the requirements, we still encourage you to apply!
