The operational assistant plays a vital role in ensuring the effective day-to-day operation of the department.
Key Responsibilities:
* Assist with general administrative duties and tasks, including:
o Organising meetings and events, such as booking meeting rooms and requesting visitor access.
o Updating and archiving of documents.
* Support the creation of new clubs, manage club membership requests, and maintain ongoing interactions with existing clubs. Monitor the reliability of statistics on club memberships.
* Provide support with club administration, including committee meetings and AGM, and administrative support to the club executive committee.
* Work closely with the senior administrator to implement general actions and policies.
* Organise specific events, such as open days and exhibitions.
* Ensure business continuity of the office by providing backup support to colleagues during their absence.
Qualifications and Experience:
Typical qualifications include a secondary level education, complemented with a 2-year certification in a relevant field, such as secretarial studies or business administration, or equally qualified experience in a relevant field.
* At least 3 years' experience in an administrative support role.
* Ability to work well under limited supervision and serve as a back-up to colleagues.
* Proactive and able to take initiative.
* Thorough knowledge of advanced functions of standard office tools, notably Excel, Word, PowerPoint, and Outlook.
* Strong organisational and planning skills.
* Very good interpersonal skills.
