HR Administrator - Office Manager

Contract for a limited period of one year
This position is responsible for ensuring the management of HR administration throughout the employee life cycle. Maintaining confidentiality at all times and working with minimum supervision, having the employee experience in mind is key for success in this role. This role combines responsibility for supporting colleagues with key HR processes including time tracking, leave administration, and fleet management, as well as managing the physical office environment in the Frankfurt area, coordinating facility services.
Key Responsibilities:
HR Administration
* Maintain accurate colleague data (HRIS), time-tracking and attendance data; support colleagues and managers with system questions or corrections.
* Maintain digital and physical personnel records in line with HR data standards and compliance requirements.
* Administer employee leave (vacation, sickness, parental, unpaid), ensuring compliance with policy and legal requirements.
* Provide monthly reports to payroll and maintain accurate personnel records.
* Manage company fleet processes in cooperation with the external fleet management provider.
* Serve as a point of contact for employee questions related to HR administration
* Support onboarding and offboarding steps, related to health & safety, systems, documentation, and workplace setup.
* Manage the process of cross-border engagements of colleagues, as well as formalities related to work permits or business visa, administer colleague registration in the business travel tool
* Training registration and administration
Facilities & Office Management
* Oversee daily facilities operations and ensure a safe, functional, and well-maintained office environment.
* Manage vendor relationships, facility services (cleaning, security, maintenance), and office supplies.
* Support space planning, seating management, and workplace services for employees.
* Support facilities-related projects, including office move, renovations, and ordering and installing new furniture. Support coordination with landlords, contractors, and internal teams during office works or relocations.
* In collaboration with Craft Master and Compliance Advisor, ensure compliance with health, safety, and building regulations.
Skills & Qualifications
* At least 3 years of experience in HR administration, experience in office management or similar cross-functional operational roles is an asset.
* Proficient in German and English
* Proficient computer skills including familiarity with MS Office applications (Outlook, Word, Excel), Knowledge of Workday, Databasics, Myfactory is an asset
* Strong organizational and multitasking abilities across varied responsibilities.
* Excellent communication and customer-service orientation.
* Knowledge of time-tracking systems, HR processes, and basic workplace safety requirements.
* High level of discretion and attention to detail.
