Project Administrator / Document Controller
DC Heidi provides client-side project, programme and portfolio management services throughout Germany and Australia and specialises in Client-side management of data centre construction projects. We are currently searching for a resourceful project administrator to joint our specialised team in Berlin / Germany. The candidate would need to be able to work in a fast-paced environment, think outside the box and be a strong communicator within a corporate and construction environment.
The role would suit an individual who has a worked in the German construction industry and would like to progress into a career working across the data centre construction sector.
Key responsibilities:
* Build and manage project documentation on Microsoft Share point site and manage access rights to multiple internal and external parties.
* Build and manage project documentation on ACC Autodesk construction or Procore and manage access rights to multiple internal and external parties on multiply projects.
* Coordinate meetings, prepare agendas, and document minutes for Internal Project Reviews.
* Assist with planning submissions.
* Issue/Manage the Request for Information process during construction and coordinate construction administration with engineers.
* Document Management & Configuration – Draft templates, review project documentation for formatting compliance, configure documentation and coordinate documents for delivery required under the contract (CDRLs); including, workflow management, review register consolidation, configuration management, ready for issue documentation.
* Administration Support - Provide general administrative support to team and provide professional advice for the continuous improvement of administrative/support systems, processes and procedures. Participate in the continuous improvement of Lean systems and processes.
* Assisting with Purchase Order setup and maintenance (including submitting supplier invoices) and how it relates to monthly invoicing cycle.
Skills and experience:

* Ideally successfully completed studies in the field of business, construction, engineering or project management.
* Excellent communication and collaboration skills, with the ability to work effectively with stakeholders from diverse backgrounds.
* Fluent in English - German
* Strong problem-solving skills and attention to detail.
* Experience with fast-tracked design/build projects.
* Possible knowledge of German building codes and regulations including Fire Codes, Building Codes, Energy Efficiency Codes and Safety Codes.
* Must be proficient in PC applications including Microsoft Office/ 365 Outlook /Teams, SharePoint and other project management such as Procore and Aconex/ACC would be a plus.
The office is located in Berlin / Kleinmachnow, you must be an EU resident and authorised to work in Germany.
