We’re looking for a proactive and detail-oriented Team Assistant (m/f/d) who thrives in a dynamic, fast-paced environment. In this position, you’ll provide crucial administrative and coordination support to our team and leadership, helping us drive impactful commercial initiatives across markets. Whether it’s organizing global meetings, supporting onboarding processes, or coordinating with vendors, your structured and dependable approach will help keep our daily operations running smoothly. Your Assignments Provide administrative and operational support to the team and leadership, including complex scheduling and coordination tasks, ensuring daily operations are handled with accuracy and care. Own and execute ad-hoc administrative duties and small-scale projects that improve team efficiency and internal processes. Assist in preparing recurring reports and creating high-quality PowerPoint presentations for leadership and team communications. Plan and manage internal and external events or workshops, coordinating directly with venues and vendors as needed (including booking of meeting rooms, arranging catering, and liaising with local office administrators for on-site and global events). Support onboarding processes for new team members and external partners, particularly with IT systems and HR tools, ensuring a smooth experience. Manage the full Statement of Work (SoW) and invoice process, including documentation, approvals, and follow-ups on payments. Handle travel and expense claims in accordance with internal policies, maintaining a high level of accuracy. Prepare and submit purchase requisitions using internal procurement platforms, ensuring compliance with workflows. Your Profile At least 2 years of experience in administrative or operational support roles in fast-paced, international environments. Strong digital skills with tools like Microsoft Outlook, Teams, Excel, and PowerPoint; quick to learn new systems and platforms. Proactive problem-solver who anticipates needs, takes initiative, and gets things done independently. Exceptionally organized, detail-oriented, and structured – you bring clarity and calm to busy situations. Professional, discreet, and reliable when handling sensitive information and representing the team. Positive team player who contributes to a collaborative and dependable work culture. Clear, confident communicator with the ability to tailor messages to different stakeholders and audiences. Business fluent in English (written and spoken); other languages are a plus.
