Office Manager (m/f/d) part-time (20 hrs)

Your Responsibilities
As the Office Manager, you will play a pivotal role in ensuring smooth day-to-day operations while managing the organization’s basic IT infrastructure and support. Your key responsibilities include:
Administrative and Operational Support
* Take full ownership of back-office support functions, ensuring seamless coordination of administrative tasks, and efficiently managing all aspects related to office space operations to maintain a positive, productive and well-organized work environment.
* Manage office supplies and oversee the procurement process to support team efficiency
* Handle receipts, expense reports, and administrative tasks to ensure smooth operations.
* Coordinate internal meetings, company events and travel arrangements
* Support HR and Finance with onboarding (equipment setup, workspace prep, orientation) and monthly invoicing process
Coordination with IT and Data Security Providers
* Serve as the first point of contact for basic IT troubleshooting (laptops, Wi-Fi, printers, etc,)
* Act as the primary contact for our external IT service provider, ensuring timely resolution of more technical issues.
* Manage the setup and maintenance of company computers, networks, and office equipment
* Monitor IT processes, software updates, and security protocols to maintain a secure and efficient workplace.
* Maintain inventory of IT equipment and software licenses
* Assist in the implementation of new technology systems and tools.
* Ensure compliance with data protection and information security policies in coordination with Finance & Legal.
What We’re Looking For
We’re searching for a proactive, detail-oriented professional with:
* Experience, ideally in a start-up or small (15-50 employees) fast-paced company in a similar position.
* Strong organizational and multitasking skills with an ability to prioritize under pressure and work independently.
* Excellent interpersonal skills, with a collaborative and solution-oriented mindset.
* Familiarity with IT coordination, networking basics (Wi-Fi, routers, printers, etc.). and a general understanding of data security principles.
* Proficiency in Microsoft Office and comfort working with digital tools.
Fluency in written and spoken English and German.
