Your Role:
As a Property Operations Coordinator, you will serve as a key operational extension of the property management team. You'll act as the first point of contact beyond the call center, owning follow-ups, documentation, coordination, and communication across residents, vendors, and property managers. This is a highly trusted role requiring judgment, accountability, and strong communication skills.
Your Day-to-Day Responsibilities Will Include:
Communications & Coordination
* Serve as the primary responder for routine resident, vendor, and internal inquiries that do not require management discretion.
* Ensure responses are handled through the correct channel (calls, emails, or software requests).
* Return calls as calls, emails as emails, and document all communications in the property management system.
* Participate in weekly Zoom check-ins with the internal team.
Maintenance Coordination (Heavily Weighted)
* Receive and triage maintenance requests to determine responsibility (association vs resident).
* Follow up on issued work orders to confirm progress and completion.
* Communicate timelines, updates, and resolutions to residents.
* Coordinate with vendors to resolve delays or workmanship concerns.
* Maintain accurate documentation in Buildium for all maintenance activity.
Document Organization & Tracking
* Review, extract, and route daily scanned mail (invoices, leases, insurance certificates, notices).
* Upload and categorize documents into internal systems and Buildium.
* Queue invoices appropriately for accounts payable.
* Redact sensitive information using Adobe Acrobat before publishing documents.
Lease & Insurance Compliance
* Track homeowner insurance and lease documentation for compliance.
* Monitor and follow up on vendor insurance certificates.
* Maintain accurate compliance records across properties.
Resident Center & Light Accounting Support
* Assist residents with Resident Center navigation and payment adjustments (with written approval).
* Pull account ledgers to verify balances and payment status.
* Confirm vendor payments and provide check/payment details when requested.
What You'll Need:
* 2–4+ years of experience in property management, operations coordination, or administrative roles.
* Strong experience handling maintenance coordination and follow-ups.
* Excellent spoken and written English with professional phone presence.
* High attention to detail and strong organizational skills.
* Comfort working with document-heavy workflows.
* Experience with property management software (Buildium strongly preferred).
* Proficiency with Microsoft Word, Excel, Google Drive, and Adobe Acrobat.
* Reliable internet, phone signal, and professional home setup.
* Must be located in LATAM or Europe.
