ABOUT THIS JOB
Position Specific Summary
The Management Assistant position at the City of Tucson's City Clerk's Office supervises staff and supports daily administrative operations of the City Clerk’s Office, while implementing management functions and activities.. This position evaluates and recommends improvements to management, monitoring effectiveness and managing regulatory requirements for the office.
Work is performed under the supervision of the City Clerk. This position exercises supervision over division personnel.
Duties and Responsibilities
1. Leads and maintains various departmental projects related to election cycles; manages timelines, stakeholder communication, logistic coordination, and reporting from initiation through implementation.
2. Supervises and oversees the daily work of election employees and coordinates personnel-related activities to including training, approving work schedules, recommending and approving personnel actions, coaching and counseling, and approving time.
3. Researches, interprets, and applies State Statutes and City Code to daily operations; ensures departmental actions strictly adhere to legal mandates and evolving legislation.
4. Prepares written materials, proofreads, responds to inquiries, attends public meetings, and communicates with the public, supervisors, other City personnel, and Ward offices regarding inquiries and constituent requests; coordinates meetings and prepares presentations as necessary.
5. Provides general administration support including managing high-level correspondence, coordinating calendars, completing tasks, and acting as a liaison between the Clerk’s office, Mayor, City Council, and other departments.
6. Assists with the coordination and administration of municipal elections, including assisting with voter registration, polling locations, and election day logistics. Ensures compliance with election laws and regulations while demonstrating political neutrality.
7. Analyzes, evaluates, and revises standard operating procedures and policies, conducts research and prepares data-driven recommendations, coordinates departmental activities, prepares drafts of various documents, and maintains spreadsheets and databases.
8. Performs all other duties and tasks as assigned.

MINIMUM QUALIFICATIONS
Education:
Bachelor’s degree
Experience:
Two (2) year of directly related experience
License: A valid and unrestricted driver’s license with two (2) years of licensed driving is required.
Any combination of relevant education and experience may be substituted on a year-for-year basis.
Preferred Qualifications:
Paralegal or legal background related to regulatory compliance.
Direct experience and/or certification in project management.
Experience in administrative support.
AZ SOS Election Certification.
Technological proficiency and comfort in using computer software, databases, and various other electronic systems and programs.
Experience in supervising and training staff, including assigning tasks, providing guidance, and evaluating performance.
