Www.med.uni-magdeburg.de Department Head (m/f/d) Administrative Systems – IT and Medical Technology Division THE UNIVERSITY HOSPITAL MAGDEBURG Magdeburg University Hospital is a public institution (A.ö.R.) and, together with the Medical Faculty of Otto von Guericke University, forms UNIVERSITY MEDICINE MAGDEBURG. With approximately 1,100 beds in 27 clinics and 28 institutes or associated departments, it is the largest healthcare facility in northern Saxony-Anhalt and, in addition to research and teaching, offers the entire spectrum of multi-professional and highly specialized university maximum care. Help shape the digital backbone of a modern university medical center—stable, integrated, and future-proof. The position reports directly to the IT & Medical Technology Division Management—permanent, full-time. Hybrid working possible within the framework of the UMMD regulation. Your mission: University Medicine Magdeburg works with highly critical administrative information systems on a daily basis: finance and controlling software, HR systems, patient billing, administration and service portals, and a variety of clinic-related cross-sectional applications. As Head of Administrative Systems, you will take on the strategic management of a central digital ecosystem that is indispensable for the economic efficiency, process quality, patient service, and overall administrative performance of our UMMD. You will create clear structures, lead teams of experts in a confident and motivating manner, and design a digital environment that optimally supports administration, research, and hospital operations. Your tasks—strategic, business-critical, future-oriented: Management of the Administrative Systems department Management of an interdisciplinary team for financial, human resources, administrative, and patient service systems Definition and further development of a clear strategic roadmap for all administrative IT systems at UMMD Ensuring stable, secure, economical, and smooth system operation Developing an open, prioritizing, and empowering leadership culture Responsibility for central administrative and cross-functional systems Finance and controlling systems (ERP, budget processes, cost centers, reporting) Personnel management & HR systems (time management, personnel administration, applicant management) Patient administration & service processes (patient service, admission/discharge, billing processes) Administrative & organizational systems (document management, workflow systems, service portals) Cross-functional systems & interfaces (integration with clinical systems, ID and authorization data flows) Digitization, process optimization & governance Analysis, further development and standardization of central business processes Close cooperation with administration, medical controlling, human resources, patient management, and finance departments Development of modern process architectures (automation, integration, self-service) Ensuring compliance, data protection, documentation, and audit trails Collaboration on cross-departmental digital strategies and modernization programs at UMMD Project, budget, and resource management Management of large transformation and modernization projects (ERP updates, HR digitization, workflow optimization, interface modernization) Planning and controlling the department budget, resources, and service providers Representing the department in committees, audits, requirements rounds, and board meetings Ensuring high system quality of tested releases and sustainable operating processes Communication, leadership & collaboration Clear prioritization and communication tailored to the target audience Promotion of self-organization, role clarification, and solution-oriented collaboration Conflict resolution, constructive feedback Focus areas in the first 12 months: Stabilizing operations and assuming full responsibility for the system landscape Establishing a consistent ITIL/governance structure for administrative systems (processes, roles, standards) Creation of a 2026–2028 roadmap for the further development of processes, system architectures, and the interface landscape What you can expect: Trust-based cooperation with clinics, medical technology, administration, research, and IT departments A key role in the digitalization of a university medical center Generous creative freedom in the further development of central applications and workflows Direct support from division management and close cooperation with administration and clinics Collaboration with highly competent experts in a modern and professional environment. The opportunity to create sustainable structures for the entire university medical center Your profile: Several years of management experience or leadership responsibility in the area of administrative IT systems, ERP, HR, or comparable business applications Very good understanding of business processes in finance, HR, patient administration, or hospital management Experience in process optimization, digitization, interface control, and complex IT application landscapes Experience in regulated or complex organizational structures; healthcare is a plus Strong organizational, strategic, and communication skills.
