The HR Assistant will provide administrative support across various HR functions, assisting with recruitment, employee relations, onboarding, HR documentation, and compliance. The HR Assistant is responsible for the following tasks:
Recruitment and Onboarding:
* Assist in the recruitment process by posting job advertisements, reviewing resumes, and scheduling interviews.
* Coordinate and support the onboarding process for new employees, including preparing documentation, conducting orientation sessions, and ensuring a smooth transition.
* Support the recruitment team in sourcing candidates and conducting reference checks.
* Assist in maintaining the recruitment database and tracking the hiring pipeline.
Employee Documentation and Recordkeeping:
* Ensure accurate and up-to-date employee records are maintained in compliance with legal and company requirements.
* Assist in the preparation and maintenance of HR documents such as contracts, offer letters, and employee handbooks.
* Support HR in maintaining confidential employee data and updating HR systems.
* Help ensure timely filing of employee records and manage HR-related documents in accordance with internal policies.
HR Compliance and Policies:
* Assist in ensuring the company’s HR practices comply with local labor laws and regulations.
* Support the team in maintaining up-to-date knowledge of HR policies, including benefits, payroll, and employee rights.
* Help distribute HR-related communications, such as policy updates and employee benefits information.
* Assist in conducting regular audits of HR records to ensure compliance with organizational and legal requirements.
Employee Relations and Support:
* Serve as a point of contact for employees regarding HR queries, including inquiries about policies, benefits, and payroll.
* Assist in organizing employee engagement initiatives and events to foster a positive workplace culture.
* Support HR with performance management processes, including scheduling meetings, tracking performance evaluations, and maintaining records.
* Provide administrative support during conflict resolution or employee counselling processes.
Payroll and Benefits Administration:
* Assist in maintaining accurate employee time and attendance records.
* Help prepare documentation for payroll processing, ensuring that all hours worked and leave entitlements are recorded accurately.
* Support the benefits administration process, including assisting with open enrolment and addressing employee benefits questions.
* Assist in tracking benefits and payroll-related deadlines and ensuring timely processing of all necessary paperwork.
HR Reporting and Analytics:
* Assist in generating HR reports, including turnover rates, absenteeism, and employee satisfaction surveys.
* Maintain and update HR data in spreadsheets and HR management systems.
* Support in tracking employee training, certifications, and development programs.
* Help track key HR metrics and assist in reporting on HR activities and trends.
