The Owner Supply Coordinator provides structured administrative and coordination support to the Owner Supply team across multiple workstreams.
The role focuses on maintaining accurate tracking, ensuring alignment between stakeholders, and supporting the successful execution of Owner Supply activities.
Over time, the Owner Supply Coordinator may take ownership of defined scopes and independently drive tasks to completion, while contributing to process improvements and efficiency within the team.
This position is on-site in Papenburg, Germany.
Responsibilities
1. Maintain and update Owner Supply tracking tools (e.g. Smartsheet)
2. Ensure data accuracy, completeness, and consistency across all scopes
3. Monitor status of items (deadlines, decisions, procurement, delivery)
4. Identify gaps, inconsistencies, and missing information
5. Prepare, schedule, and lead coordination meetings with internal and external stakeholders
6. Capture clear and structured meeting notes (MOMs) and track action items
7. Ensure follow-up and closure of open topics
8. Support the Owner Supply team with reports, summaries, and presentations
9. Organize and structure project data and documentation
10. Ensure transparency and alignment across teams
11. Take ownership of assigned scope and drive them to completion
12. Prepare plans aligned with the ship construction schedule.
13. Coordinate across project management, creative, technical teams, operations, procurement, logistics, and shipyard stakeholders
14. Support planning and coordination of deliveries on board
15. Assist with loading activities in collaboration with internal teams and external partners
16. Help resolve issues related to missing or delayed items
17. Proactively follow up on open topics with stakeholders
18. Ensure timely updates and information flow
19. Identify issues early and escalate when needed
Experience
20. Strong organizational and administrative skills
21. Structured, reliable, and detail-oriented working style
22. Ability to manage multiple topics and deadlines in parallel
23. Confidence to lead meetings and follow up with stakeholders
24. Clear communication skills in English and German
25. Confident use of tools, like MS Office, Smartsheet, AMOS
26. Background in administrative, coordination, or technical/project environments
27. Experience in ship building or project-based settings is beneficial
