Hauptaufgaben
Receives, checks and distributes incoming correspondence to action office(r), applying a working knowledge of the functions and procedures of the organization. Logs and controls suspense dates, ensuring action officers are aware of suspense dates. Reviews outgoing correspondence for completeness, correctness and neatness attachments, and copies required.
Prepares routine correspondence and reports from, information received, files maintained, internal operating procedures, guidelines and instructions furnished, applying a basic knowledge of the medical terminology of the office.
Collects and prepares a variety of statistical material pertaining to the varying operation and reporting requirements (e.g. summary reports, quality assurance tracking and reporting) of the office and ancillary services.
Establishes and maintains files; revises and disposes of files in accordance with approved record keeping system. Maintains ready-reference files of frequently consulted regulations, policies, rosters, directive, and other material. Establishes and maintains lists and registers, by various categories, of persons or organizations frequently contacted.
Receives and acts on personal and/or telephonic inquiries for information or data of a fundamental nature pertaining to office functions, internal operating procedures and reporting requirements. Refers technical requests to supervisor.
Controls, maintains and prepares Time and Attendance cards for US and/or Local National employees. Coordinates training requirements and schedules training with various training facilities. Prepares nominations and travel orders. Keeps an update listing of all training available.
Reads directives and instructional material pertaining to administrative practices and clerical procedures in order to be aware of new, revised, or amended procedures for such matters as: preparation and processing of correspondence, filing, mail procedures, preparation of travel orders/vouchers, and security procedures.
As publications custodian, independently administers mid processes the publications and form account and maintains required stock levels of form, regulations and manuals. Orders required office supply items and purchases supplies at the Self Service Supply Center (SSSC).
Assists in various other administrative tasks of the office and provides limited administrative support work in the technical fields of specialists engaged in the substantive work of the organization, e.g. in the quality assurance program. Maintains confidentiality of information.
Performs other Duties as assigned.

E&T Level I: 1 year of creditable experience that included clerical work in an office or store, working with computers, bookkeeping, making and recording inventories, telephone marketing, arranging for events or as a cashier, etc.
Current employees who do not meet E&T Level I and who are not in the same or similar occupation, must have 2 years of creditable experience that included clerical work in an office or store, working with computers, bookkeeping, making and recording inventories, telephone marketing, arranging for events or as a cashier, etc.
E&T Level II and above: No additional experience required.
Current employees who have served one year in the same or similar occupation are qualified for the next higher grade.
• Office automation skills required.
LANGUAGE PROFICIENCY LEVEL:
English AND German Language Proficiency level B2 required.
