We are looking for a People Operations Coordinator with a focus on Talent Acquisition to support our People Ops team with recruitment coordination, candidate communication, hiring manager support, process documentation, and selected People Operations topics.
In this role, your main focus will be supporting the day-to-day recruitment process and helping us keep hiring well-organized, timely, and candidate-friendly. You will coordinate interviews, communicate with candidates, maintain clean recruitment pipelines, follow up with hiring teams, and support the continuous improvement of our recruitment workflows.
You will also support structured first screening calls for selected roles where People Ops involvement adds value. This can include assessing motivation, general fit, availability, expectations, and basic requirements. The role is not a high-volume recruiter position, but it offers the opportunity to grow into more ownership in recruitment and People Operations over time.
Depending on recruitment workload and team priorities, you will also support broader People Operations tasks and projects, such as onboarding coordination, employee documentation, HR tool updates, internal communication, process improvements, and employee lifecycle support.
This is ideally a full-time position, but we are open to a part-time arrangement of 30–32 hours per week, spread across 5 working days.
Monitor recruitment emails and overseeing all candidate-facing communication to ensure a professional and timely experience
Coordination of interview scheduling and rescheduling across multiple departments and international time zones
Ownership of recruitment system hygiene, ensuring all pipelines are accurate and updated
Follow up proactively with hiring managers and interviewers to keep candidates moving through the process
Support for job postings and the setup of internal recruitment workflows for new roles
Create and improve recruitment documentation, including interview guides, scorecards, feedback templates, and process overviews.
Conduct structured first screenings to assess motivation, general fit, availability, expectations, and basic requirements when needed
Support German-language candidate communication or screenings where possible, especially for roles where this adds value
Help develop basic training materials and guidance for hiring managers around interview structure, feedback quality, and good recruitment practices
Identify bottlenecks in recruitment processes and suggest practical improvements
Support selected People Operations tasks and projects depending on recruitment workload, team priorities, and business needs
Assist with onboarding coordination, internal documentation, HR tool updates, employee communication, and process improvements where needed
Contribute to making People Ops processes clearer, more structured, and easier for employees and teams to navigate
Previous experience in recruitment coordination, junior talent acquisition, HR, or a People Operations role with recruitment exposure
Strong organizational skills and follow-up discipline, with the ability to manage multiple tasks and candidates simultaneously
A clear process mindset and an interest in improving workflows, candidate experience, and internal standards
Confident communication style and the ability to represent the company professionally in candidate interactions and structured screening calls
Strong communication skills in English, both written and spoken
German skills are a strong plus, especially the ability to support candidate communication or conduct first screening calls in German when needed
Good writing and documentation skills to help build our internal recruitment and People Ops toolkit
Proactive, service-oriented mindset and motivation to support both candidates and internal teams
