Position Overview: We are looking for an organised

Office Manager

to support the operation and management of our small, 5-person Frankfurt office and to support Amsterdam office operations. This full-time role requires on-site presence and is ideal for someone who is proactive, professional, and detail-oriented. The Office Manager will play a key role in ensuring the efficient management of the office and maintaining a safe, well-organised workplace.

In addition, this role will serve as the designated

Safety Officer

for the Frankfurt office. The candidate will be required to complete relevant safety trainings, including becoming

CPR certified, to fulfil this responsibility.

Key Responsibilities: Provide general administrative and office support Manage office supplies, orders, and inventory Handle incoming correspondence and, if necessary, direct it to the appropriate team members worldwide Support onboarding administration in coordination with the HR team Organise and maintain documents and records per GDPR regulations Ensure office safety rules and procedures are implemented and followed Liaise with vendors, building management, and external partners Assist with ad hoc administrative tasks as required Handle incoming calls and direct customer inquiries to the appropriate departments Occasionally lift and move office items as needed

Qualifications: Professional proficiency in English and German (minimum

B2 level

in both) Availability to work

on-site in Frankfurt Previous experience in an administrative or office support role is an advantage Experience or knowledge of workplace safety procedures is a plus Strong organisational and time-management skills Ability to maintain a high level of accuracy in a fast-paced environment Good communication skills with a professional and approachable demeanour Proficiency in MS Office (Outlook, Word, Excel) Ability to work independently and handle confidential information responsibly
