As a Junior Administrator, you will play a key role in supporting our client administration functions, gaining hands-on experience in fund services, regulatory compliance, and operational processes, while being supported by experienced mentors and a development plan. Responsibilities
Your responsibilities will evolve as you gain experience and confidence, with a strong focus on learning, collaboration, and service excellence.
* Assist in maintaining accurate client records and documentation
* Support the onboarding process for new clients, including due diligence and data collection
* Supporting company secretarial duties, like scheduling meetings, preparing agendas, and drafting basic corporate documents
* Supporting investor services operations, including capital calls, distributions notices
* Help prepare client reports, statements, and communications
* Stay informed about Luxembourg financial regulations and assist in implementing updates
* Help respond to client queries and requests in coordination with senior team members
* Maintain client dashboards and trackers to monitor service delivery
* Contribute to process documentation and workflow improvements
* Support the preparation of regulatory filings and compliance documentation
* Support KYC/AML processes by gathering client and investor documentation, performing initial checks, and coordinating with compliance teams during onboarding and periodic reviews
* Work closely with the Associate Director and other team members to ensure smooth operations
* Uphold a collaborative and professional team ethic
* Assist in monitoring compliance with internal policies and procedures
* Learn and use administration systems and reporting tools effectively
* Assist in testing new system features and providing feedback for improvements
* Support technology integration efforts to enhance client service delivery
* Assist in tracking client deliverables and timelines
Requirements / Qualifications
* A strong academic background with a good degree or equivalent, preferably
* Strong organizational and time management skills
* Attention to detail and accuracy
* Good communication and interpersonal skills
* Proficiency in Microsoft Office tools
* Ability to work collaboratively in a team environment
* Excellent written and verbal English communication skills, knowledge of other languages is appreciated
Desirable:
* Some experience with administrative, company secretarial, transfer agency and cash management related tasks
* Understanding of Luxembourg corporate law and the relevant alternative investment fund regulations
* Interest in private capital and alternative assets
* Willingness to learn and grow in a fast-paced, client-focused environment
