Corporate Support Role
This position is designed to assist and support the operational functions of a department in day-to-day business and corporate matters.
Main Responsibilities:
* Facilities Management: Ensure the proper functioning and maintenance of workspaces, offices, meeting rooms, and common areas.
* Monitor security procedures and manage company badges.
* Manage relationships with external service providers, monitor contracts, and interventions to ensure service quality.
* Oversee and maintain technical equipment, handle repair or replacement requests.
* Suggest solutions to optimize the use of space, consumables, and facility-related costs.
* Reception and Phone System Management: Handle incoming and outgoing calls, direct calls to the appropriate person or department, and address requests professionally.
* Physical Reception of Visitors: Greet visitors, clients, and partners, provide direction, and ensure a courteous and efficient reception service.
* Plan and organize meeting room bookings, prepare rooms (equipment, layout, etc.), and ensure proper usage.
* Handle administrative tasks related to these functions, such as agenda management, preparing documents, or drafting meeting minutes.
* Event Coordination: Organize catering or reception services for meetings, events, or important visits. Be a source of ideas and innovation to develop the events business.
Requirements:
* A degree in a relevant field such as reception, hospitality, or building management.
* Fluent in French and English (Dutch is an asset).
* Sense of organization and priorities.
* Respect of deadlines.
* Adaptability and flexibility.
