Chief Executive / Deputy Chief Executive - Corporate Officer (M / F)
Job Description : Reporting line :
The incumbent will work under and report to Head of Unit of the Board and General Meeting (“B&GM”) Unit within the Governance Division.
Purpose
The Governance Division is in charge of advising on corporate governance matters and providing organisational / advisory support to governing bodies (Chief Executive / Deputy Chief Executive, Board of Directors, Audit Board and General Meeting), as well as advisory committees (Ethics and Compliance Committee) and senior management committees.
The B&GM Unit executes the corporate activities needed for the Board of Directors and the General Meeting to operate under their statutory roles as governing bodies. The Unit also supports the Head of Division and the Secretary General in policy, strategic, procedural and governance affairs, coming within their remit, as well as managing the process for the admission of new shareholders.
The role encompasses a special focus on interdepartmental collaboration and intra-Group collaboration with key counterparts. The role requires the ability to work in a fast-paced and high-demand environment, multi-tasking and adapting to changing priorities, delivering towards strict deadlines without compromising quality. It also requires a developed sense of diplomacy and discretion / confidentiality. The role demands proactivity and a forward-thinking approach, combining attention to governing body-related specifics. Additionally, it necessitates building trust through honesty, integrity, and authenticity. Successful candidates should showcase collaborative and interpersonal abilities with strong drafting, editorial, and communication skills.
Responsibilities
* Under the supervision of the Head of Unit, contribute to the smooth and timely running of the Board-related processes, including formatting and distribution of Board documents, monitoring of the agenda, managing calendars.
* Coordinate the organisation of meetings and events, including attendance registration, management of building accesses, on-site support with meeting room preparation, handling of guests.
* Contribute to the efficient administration and reporting of operational decisions under the specific authority delegated by the Board to the Chief Executive.
* Assist with General Meeting-related decision-making processes, information-sharing, updates of shareholder information in the system.
* Maintain internal databases.
* Promote good communication, within the Unit and beyond, to support effective cooperation as well as dissemination of information and knowledge sharing.
Profil
Qualifications
* University degree, preferably in a relevant field (e.g. business administration, law, political sciences, finance).
* A minimum of three 3 years’ relevant professional experience in a relevant field, preferably with an emphasis on institutional, corporate, governance matters.
* Good drafting, editorial, and presentation skills, with the ability to communicate clearly and concisely.
* Excellent knowledge of standard MS Office Tools (Word, Excel, PowerPoint)
* Prior experience in event planning, including exposure to senior level management would be an advantage
* Fluency in English and very good knowledge of at least one further EU working language. Knowledge of other languages would be an advantage.

This is an opportunity for an initial contract of 2 months, with possible extensions afterwards.
Salary ranges between 4500€ and 6400€ gross per month, depending on experience.
