As a Title Clerk Specialist you will be responsible for preparing tax, title and legal transfer documents on vehicle sales.
Job Responsibilities:
1. Verify check, cash and contract funds
2. Prepares tax and title documents on a timely basis
3. Submits legal transfer documents to DMV on a timely basis
4. Processes paperwork on a timely basis
5. Maintains files of tax and legal transfer documents
6. Maintain schedules
7. Builds relationships and communications with dealership personnel, accounting managers and HAG
8. Process and assign all titles received
9. Process title work with OLRS or DMV in a timely manner
10. Prepare out of state title work within priority guidelines
11. Prep allocated number of deals a day for processing
12. Key OLRS report, checks and journal entries daily as needed
13. Expedite duplicate title process as needed
14. Track and/or investigate outstanding titles
15. Reconcile schedules weekly
16. Actively research any outstanding issues that prevent you from completing any of the above
17. Pull titles, mail plates and copy title work as needed
18. Process/maintain dealer plates and temporary markers
19. Prepare Service Loaners – maintain tags
20. Assist with DMV Enforcement and Floor Plan Audits
21. Attend weekly department meetings
22. Maintains CSI at or above Company standards
23. Maintains an organized, clean and safe work area
24. Participates in required training
25. Records all hours worked accurately in company timekeeping system
26. Follows Safeguards rules and regulations.
27. Demonstrates the Company’s Core Values
28. Complies with Company policies and procedures
29. Observes all Federal, State, Local and Company safety rules and regulations in the performance of duties.
30. Other duties as assigned
What We’re Looking for:
31. Associate degree preferred (or equivalent training and experience)
32. We value the right combination of education and hands-on experience
33. Up to 1 year of relevant experience, ideally in a business environment
34. Vehicle titling or DMV experience in a fast-paced setting is a plus, but we're willing to train the right person
35. Strong organizational skills are essential—you'll be juggling multiple priorities
36. Notary Public certification (or willingness to obtain)
37. Comfortable with Microsoft Office (Word, Excel, Outlook)
38. Eager to learn our dealership management system and other specialized software—we'll provide training!
39. This role requires reliable attendance and flexibility
40. Shifts may include evenings, weekends, and holidays
