The Scope
The Personal Assistant to the Director, People & Culture plays a key role in supporting the leadership agenda of the function. This role goes beyond traditional administrative support and serves as a central coordination on hub between the Director and their direct reports across HR Business Partnering, HR Operations, Talent Acquisition, and Talent Management.
As a trusted partner, you will not only manage priorities and communication flows, but also apply strong project coordination and project management capabilities to ensure indicatives, decisions, and cross-functional actions are delivered on time and with clarity. You will contribute directly to the operational excellence, structure, and effectiveness of the People & Culture team.
Main Roles & Responsibilities
Leadership, Project & Strategic Coordination
1. Partner closely with the Director to manage priorities and support decision-making.
2. Coordinate alignment and follow-up across the People & Culture leadership team.
3. Support planning, tracking, and delivery of strategic initiatives and cross-functional projects.
4. Maintain structured project tracking tools, timelines, and action plans to ensure
5. accountability and progress.
6. Prepare and support leadership meetings and key initiatives with clear documentation and follow-up.
Calendar, Workflow & Project Management
7. Manage a complex calendar while aligning timelines with project milestones and strategic
8. priorities.
9. Coordinate schedules with senior stakeholders across multiple initiatives.
10. Prepare agendas, briefings, presentations, and structured project updates.
Communication & Joint Workers Council Coordination
11. Draft and manage correspondence with professionalism and discretion.
12. Act as a point of contact for internal stakeholders.
13. Support coordination with the Joint Workers Council, including preparation, documentation,
14. structured follow-up, and tracking of agreed actions.
15. Maintain transparent tracking of commitments, deliverables, and deadlines across
16. workstreams.
Operational & Team Support
17. Contribute to improving coordination and project management processes within the function.
18. Support and help structure people-focused initiatives that enhance collaboration, culture, and employee experience.
Your profile
19. Experience supporting senior leaders in a Personal or Executive Assistant capacity (HR or People & Culture experience is an advantage).
20. Demonstrated project management or project coordination experience, with the ability to manage timelines, stakeholders, and deliverables effectively.
21. Strong organizational and prioritization skills, with the ability to manage multiple parallel initiatives.
22. Experience working with employee representation bodies is a plus.
23. Excellent communication skills and high discretion.
24. Sound judgment, integrity, and comfort handling confidential matters.
25. Confidence using modern productivity, collaboration, and project management tools.

The Fine Print
38. Location: Bonn, Germany.
39. Working Hours: Full time - 40 hours per week.
40. Duration of Employment: Temporary contract - 2 years (extension possible, subject to satisfactory performance).
