Your mission As our Office Manager, you’ll be the heartbeat of our office - the go-to person who keeps everything running smoothly and makes sure our workspace is safe, welcoming, and efficient. You’ll create an environment where our team can do their best work, while managing the day-to-day operations with ease and positivity. Be the first point of contact for all things office - from correspondence to communication with internal and external stakeholders Take ownership of Health & Safety and Security, including coordination of external providers, maintaining compliance documentation, and ensuring the office meets all relevant workplace Health & Safety regulations Work closely with facility management - liaising with the landlord and scheduling maintenance or external services Manage business travel – policies, booking tools, supplier negotiations Plan and coordinate office events and meetings - keeping our culture vibrant and connected Partner with the People & Culture team to make onboarding smooth and memorable for every new joiner Handle procurement for office supplies and manage service providers to keep everything running Your profile You’re someone who loves keeping things running smoothly, thrives in a fast-moving environment, and takes pride in helping others succeed. You’re proactive, solution-driven, and always one step ahead when it comes to what the office - and the people in it - need. What you bring: Several years of experience in office management, administration, or a similar role in a dynamic environment Solid understanding of Health & Safety standards and facility coordination Great organizational and multitasking skills with strong attention to detail Confident using Google Workspace and/or MS Office; experience with travel tools is a plus Comfortable managing suppliers, budgets, and operational processes end-to-end You communicate confidently in both German and English – written and spoken Your superpowers: Strong communication and relationship-building skills A collaborative mindset - you make teamwork easy and fun Critical thinking and problem-solving - you don’t just spot issues, you fix them Results-focused and confident in making decisions Self-managed, proactive, and able to prioritize independently Calm under pressure - you handle challenges with professionalism and positivity Why us?
