About the role
We are looking for a highly organized Executive Assistant to the CEO, with PMO experience to support the CEO and senior leadership in driving operational excellence, alignment, and efficiency. You will streamline the CEO’s calendar, coordinate logistics, and ensure a stable, well-structured environment for senior leaders to operate at their best. However, this role goes beyond traditional administrative support. It requires proactive leadership in managing information flow, optimizing leadership processes, and facilitating key events like leadership offsites, strategy councils, management weekly meetings etc. With a strong project management mindset, you will help structure decision-making, improve capacity planning, and enhance cross-functional communication.
What you will do:
* Executive & Administrative Support:
o Serve as the right-hand to the CEO, ensuring seamless daily operations and strategic focus.
o Manage CEO’s calendar, travel arrangements, and high-level correspondence.
o Prepare executive materials, presentations, and briefing documents for key meetings.
o Handle sensitive communications with discretion and professionalism. Ensure seamless information flow between the CEO and senior leaders, keeping priorities aligned.
o Anticipate needs and proactively solve administrative and operational challenges.
* Leadership & Events:
o Plan and execute Leadership Week and Director Meetings, ensuring alignment and efficiency.
o Moderate key leadership events (e.g., Leadership Week, Director Meetings) to drive structured discussions and decision-making.
o Support CEO-led initiatives, acting as a bridge between departments and stakeholders. Facilitate strategic discussions, ensuring alignment on priorities
o Streamline and document leadership processes, ensuring clarity and accountability across teams.
* Operational Excellence:
o Optimize internal workflows, reducing inefficiencies and automating administrative tasks where possible.
o Support capacity planning, ensuring stable workloads and clear resource allocation for senior leadership.
o Track action items and key decisions, ensuring follow-ups and accountability across departments.
o Act in the future as a thought partner to the CEO, structuring decision-making and bringing clarity to complex challenges.
What you should bring:
* The desire to use your skills to bring about positive social change.
* A strategic doer with 2-4 years experience in project Management, operations, and executive support or Chief of Staff/PMO roles.
* Hyper-organized and proactive, with the ability to anticipate needs and remove roadblocks.
* Agile and takes initiative—Ability to work in a start-up environment navigating complex and fast-changing circumstances whilst taking full ownership of your work.
* Excellent communication and stakeholder management skills —ability to engage and align diverse stakeholders.
* Strong facilitator—comfortable moderating leadership meetings and strategic discussions.
* Analytical & structured thinker—capable of breaking down complex topics into actionable insights.
* Problem-solving mindset, with a bias for action and a keen eye for operational improvements.
* Excellent collaboration skills - ability to collaborate with people at all levels of the organisation, from diverse backgrounds and cultures. Interested in contributing to others' success.
