Description OFFICE OF REGULATORY RELATIONS The Office of Regulatory Relations protects the firm's regulatory reputation by managing its relationships with regulators and enhancing the firm's overall regulatory compliance. We set standards for all regulatory interactions at the firm and oversee certain areas of enhancement. Our work contributes directly to the firm’s success whether managing regulatory exams, implementing, overseeing and assessing significant remediation initiatives and effectiveness, communicating with regulators or establishing firmwide regulatory standards. The Executive Assistant & Regulatory Liaison provides comprehensive, high-level administrative and logistical support to a senior team lead/region head while also serving as a critical internal coordinator for regulatory engagements, managing the logistical and administrative aspects that support direct interactions by other designated personnel. This dual-focused role requires exceptional organizational skills, discretion, and the ability to manage complex calendars, coordinate travel, handle confidential communications, and manage expenses, alongside facilitating seamless information flow, efficient scheduling, and comprehensive logistical support for all regulatory interactions within a fast-paced, highly regulated environment. KEY RESPONSIBILITIES: Calendar & Scheduling Management: Manage and coordinate the scheduling of all regulatory meetings, including sending invitations, conference room reservations and ensure appropriate setup for all meetings, especially regulatory engagements. Additionally, proactively manage and optimize the senior team lead’s/region head’s calendar, strategically prioritizing engagements and ensuring coordination across time zones. Anticipate potential conflicts and proactively resolve scheduling challenges. Additionally, Travel & Logistics Coordination: Plan and execute travel arrangements for the senior team lead, adapting itineraries as needed. Communication & Stakeholder Management: Serve as a professional point of contact for internal and external stakeholders, and for internal teams supporting regulatory affairs. Manage confidential communications, screen correspondence, and prioritize inquiries with judgment. Facilitate the efficient flow of information and communications between internal teams and the regulators, ensuring timely and accurate exchange through designated internal channels. Information & Records Management: Maintain confidential files, records, and databases, ensuring accuracy and accessibility. This includes organized records of all regulatory communications, schedules, and access logs. Expense Management: Meticulously process and track expenses, reconcile credit card statements in compliance with company policies. Regulatory Access & Support: Coordinate the preparation of necessary information and access for onboarding processes, working with relevant internal teams. QUALIFICATION AND SKILLS: Experience: 3 years of experience providing high-level administrative support to senior leaders in a fast-paced, high-performance environment. Prior experience in financial services, consulting, or a related regulated industry is highly desirable, with proven experience in a coordination or support role. Exceptional Organizational & Time Management Skills: Demonstrated ability to manage multiple priorities, anticipate needs, and proactively adapt to rapidly changing demands. Possess an unwavering commitment to accuracy and attention to detail. Communication & Interpersonal Skills: Exceptional written and verbal communication skills, with the ability to interact effectively and professionally with diverse stakeholders, including senior executives and internal teams. Proactive Problem-Solving: A proactive and resourceful approach to problem-solving, with the ability to anticipate challenges, identify solutions, and take initiative to improve processes and efficiencies. Technical Proficiency: Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Zoom, and other relevant scheduling, communication, and document management systems. Experience with Concur or similar expense management systems is preferred. Discretion & Confidentiality: Unquestionable integrity and a commitment to maintaining the highest level of confidentiality, especially when handling sensitive information related to both executive support and regulatory affairs. Regulatory Acumen: Familiarity with regulatory processes and compliance requirements is a significant plus.
