Your responsibilities:
Project Management Office (PMO):
1. Responsible for the continual enhancement of a dedicated project management framework aimed at standardizing project and portfolio management practices.
2. Coordinate and support the implementation of the framework across the team, ensuring alignment and adoption.
3. Collaborate with three cross-functional teams to ensure seamless rollout and provide ongoing support and guidance as needed.
4. Ensure the departmental roadmap is up-to-date and effectively communicated to (senior) stakeholders
Project & Product Management Support:
5. Provide comprehensive support for project management activities, including updating project plans, tracking open points, creating user stories, scheduling meetings, and more.
6. Take ownership of the process for requesting new projects, ensuring efficiency and obtaining necessary approvals before presenting requests during Steering Committee meetings.
7. Support product management tasks by assisting in the coordination of development activities and maintaining documentation.
Service Desk Management Support:
8. Proactively handle issues and service requests related to digital applications, ensuring timely resolution and escalation when necessary.
9. Assist in defining preventive and corrective action plans to improve service reliability and user satisfaction.
Organization:
10. Facilitate monthly digital calls with international markets, working closely with hosts to ensure that meetings are productive and informative.
11. Steering Committee Meetings: Take charge of scheduling, agenda preparation, participant briefing, and progress tracking for project requests.
12. Monthly Newsletter: Manage the publication of the department's monthly newsletter, including gathering updates from the three teams, summarizing key decisions made by senior management, and designing the layout and content.
You should have the following qualifications:
13. Enrolled student in Business Administration, Business Informatics, Computer Science or related fields
14. Theoretical knowledge of professional program & project management
15. Initial experience with program & project management will be helpful
16. Passionate about technology with a curious, self-learning mindset
17. Conscientious, pro-active and self-directed, with the ability to cover multiple tasks in parallel
18. Solution oriented, structured and organized working method
19. Strong sense of responsibility and hands-on mentality
20. Good knowledge in MS Office and fluent English (oral and written)
21. First experience with Confluence will be helpful
