Hays is looking for a Head of Administration for one of its clients operating in the energy sector based in Luxembourg.
* Role based in Luxembourg
* Fluency in English and German is mandatory.
What you'll do:
You will oversee the financial and administrative operations of the Luxembourg office and act as the main liaison with the headquarters abroad. This includes managing daily administration, coordinating month‑end closings, preparing reporting and ensuring processes meet local requirements.
You will work with colleagues locally and internationally, handle contacts with advisers and authorities, and support compliance and administrative matters. You will also help improve workflows to keep the administrative set‑up efficient and well‑structured.
Your responsibilities will include:
Financial Administration & Reporting
* Ensuring accurate, complete and up‑to‑date financial administration
* Managing month‑end closings and preparing reporting for the headquarters
* Overseeing accounts receivable and accounts payable activities
* Preparing and monitoring cash flow plans
* Managing master data and contract archiving
* Providing financial figures to internal finance teams and external accountants
Tax & Legal Obligations
* Preparing VAT returns (LU, NL, BE, DE)
* Handling statistical declarations and Luxembourg wage tax filings
* Coordinating with tax consultants and payroll providers
* Monitoring regulatory changes and incorporating them into internal processes
Payroll & Personnel Administration
* Coordinating payroll processes between Luxembourg and the headquarters
* Ensuring accurate administrative HR processing
* Acting as the point of contact for employee administrative inquiries
Daily Office Management and local point of contact
* Overseeing day‑to‑day administrative operations and company files
* Managing payment approval workflows
* Liaising with landlords and ensuring appropriate office facilities
* Preparing and supporting internal and external audits
* Maintaining relationships with Luxembourg authorities and sector‑specific bodies
* Acting as the main contact for auditors, advisors and external organizations
* Representing the organization at meetings, seminars and industry events
Process Optimization & Compliance
* Improving financial and administrative processes and workflows
* Documenting procedures and working methods
* Ensuring audit‑proof documentation and adherence to internal guidelines
Your profile
* Bachelor's degree in finance, Administration or a related field
* Strong knowledge of financial administration and international tax regulations
* Experience with international VAT declarations (LU/NL/BE/DE)
* Fluency in English and German (French or Dutch is an advantage)
* Experience in payroll administration and payroll filings in Luxembourg
* Experience in logistics or similar sector is considered a strong asset.

Occasional travel abroad and occasional work outside regular hours may be expected as part of this role. For this position, teleworking is authorized.
