IK Is looking for its new Receptionist and Assistant. Reporting to the local management team, the receptionist and administrative assistant is a vital member of the IK Munich team, providing flawless service to both internal and external clients.
Main Responsibilities
1. Perform front of house duties such as welcoming visitors, screening and directing calls. Day-to-day running of the office and liaising with suppliers and service providers accordingly (orders, checking invoices with actuals, cleaning company).
2. Travel management planning and coordination (multiple schedules and time zones), accommodation, transfers, door-to-door itineraries - primarily for one Operating Partner.
3. Assist in the planning and preparation of meetings and video conferences
4. Traditional support and administrative duties, including expense processing (Concur system), meeting and document preparation and any further ad-hoc requests
5. Proactive calendar coordination
6. Manage office and kitchen supplies, the meeting rooms & common areas to ensure all remain clear and organised
7. Organise / coordinate team and office events
8. Act as a gate keeper, screening calls and meeting requests
9. Interactions across the group, liaising with various teams and levels of seniority.
Required skills and experience
10. Previous experience in a similar role
11. Service orientated with a passion for providing the highest level of work
12. Professional can-do attitude with exception attention to detail
13. Excellent written and verbal communication skills, in both English and German
14. Excellent organisational skills, planning and prioritisation
15. Proactive, adaptable and the ability to work independently
16. Ability to maintain confidentiality and discretion always
17. Fully competent in Microsoft Office
