About the Job
We are currently seeking an experienced and dynamic Senior Office Administration Manager to lead and oversee all aspects of office administration, facility management, and health & safety compliance across our corporate headquarters and branch offices. This role is critical in ensuring a smooth, safe, and efficient working environment in alignment with the needs of a fast-paced retail business and the standards of a publicly listed company.
Key Responsibilities
Office Administration
* Lead and manage full spectrum of daily corporate office administrative operations, including reception, fleet management, courier handling, office supplies, catering and cleaning services, and general office upkeep.
* Ensure seamless administrative support to executive leadership and business units.
* Develop, implement and improve administrative procedures, internal controls and workflows to enhance operational efficiency and compliance.
* Manage administrative budgets, monitor expenses, and identify cost-saving opportunities.
* Supervise and coach a team of administrative professionals, fostering a culture of service excellence and accountability.
Facility Management
* Oversee the management and maintenance of the company's head office and branch offices.
* Coordinate with landlords, contractors, and service providers to ensure timely delivery of facility services, repairs, and improvements.
* Plan and manage office layout, renovations, relocations, and space optimisation to support growth and efficiency.
* Ensure all facilities are clean, secure, and aligned with corporate branding and employee well-being initiatives.
Health & Safety (H&S)
* Develop, implement, and monitor policies and procedures that ensure workplace safety and compliance with Hong Kong's Occupational Safety and Health Ordinance.
* Conduct regular safety inspections and risk assessments at the head or branch offices and selected retail sites in collaboration with store operations.
* Lead emergency response planning, including fire drills, evacuation procedures, and incident reporting protocols.
* Liaise with internal stakeholders and external regulatory bodies on all H&S matters, audits, and compliance requirements.
* Organise training and awareness programs to cultivate a safety-first culture across office employees.
Requirements
* Degree holder in Business Administration or related discipline is preferable.
* Minimum 10 years of relevant experience in office administration or facility management, with at least 3 years in a managerial capacity, ideally gained from sizeable companies or listed companies.
* Experience in leading office renovation, managing third-party service providers and vendors, and participating in facilities outsourcing model is a must.
* Solid knowledge of Hong Kong's statutory requirements relating to occupational health & safety and building/facility regulations.
* Strong leadership, problem-solving, and organisational skills.
* Able to adapt in a changing environment. Demonstrated ability to look at issues from multiple perspectives.
* Excellent communication and collaboration skills. Able to manage multiple and competing priorities.
* Fully conversant with Microsoft 365, embracing innovation and new technologies.
* Excellent command of written and spoken English, Chinese and Mandarin.
