Your tasks

9. Handling internal and external correspondence in German and English (e.g. writing customer letters)
10. Handling telephone correspondence in German and English
11. Planning and organizing meetings, conventions, conferences and business trips for the program management and the team
12. Supporting the program - also professionally - with its tasks, e.g. updating the contract according to so-called variation agreements or preparing naming ceremonies
13. Moderation of selected meetings
14. Booking and invoicing travel for the program management and the team
15. Completing the filing and tracking of action items (with clients and internally within the team)
16. Creating, maintaining and managing presentation documents (in German and English)
17. Carrying out research (e.g. customer organization and other stakeholders) and preparing it
18. Creation of decision templates
19. Reception and support of visitors
20. Maintaining and updating data collections
21. Maintaining and managing personnel data in SAP R/3
22. General administrative activities
23. Planning and controlling the stock of office supplies
24. Collaboration with customers and the building supervision assistant (and representation of the latter)
25. Cooperation with service providers (e.g. Dr. Tigges, Sixt, hotels, etc.)
26. Cooperation with authorities, insurance companies, etc.

Your profile

27. Training in the commercial sector and job-specific further training
28. Several years of professional experience as an assistant in project management desirable
29. Very good knowledge of MS Office and SAP, as well as very good knowledge of office management tools
30. Good to very good written and spoken English skills
31. Knowledge of project management (e.g. IPMA) is desirable
32. Willingness to undergo security checks is mandatory
