Finance admin coordinator

The Finance & Administrative Coordinator (m/f/d) is a hands-on support role that reports to the European Finance Controller, with a dotted line to the Business Manager for innoRIID. This position is part of the broader European finance team and provides direct operational and financial support to the innoRIID business. The ideal candidate is reliable, well-organized, and proactive, with strong attention to detail and a collaborative mindset.

KEY RESPONSIBILITIES:

FINANCIAL ADMINISTRATION & COMPLIANCE

1. Manage incoming and outgoing invoices; maintain office records
2. Approve invoices for payment in coordination with warehouse and quality teams
3. Collaborate with tax advisor and upload documents to the digital accounting platform
4. Support the Business Manager in collecting, validating, and forwarding key financial figures to central finance
5. Assist in inventory management, ensuring stock and financial data accuracy

PROCUREMENT & SALES SUPPORT

6. Issue purchase orders and track deliveries
7. Assist with customer order acknowledgements and administrative handling of sales processes
8. Support customs shipping & receiving

OFFICE COORDINATION & LOGISTICS

9. Organize and file documents; maintain structured office systems
10. Help organize trainings, customer visits, and internal meetings
11. Coordinate travel arrangements, accommodations, and logistics

COMMUNICATION & SYSTEMS EXECUTION

12. Serve as a reliable point of contact across internal teams and external partners
13. Use MS Office tools (Excel, Outlook) confidently; open to learning new platforms
14. Communicate effectively in both German and English within our international group

POSITION REQUIREMENTS:

15. Completion of a recognized German vocational certificate, such as the Kaufmann/Kauffrau für Büromanagement (Office Management Clerk)
16. One (1) to three (3) years of relevant experience in administrative or finance support
17. Experience working with accountants or tax advisors is a strong plus
18. Strong organizational skills and attention to detail
19. Fluent in German; confident in English
20. Proficiency in Microsoft Office Suite (Excel, Outlook)
21. Experience with digital accounting platforms and procurement systems
22. Strong organizational and documentation skills
23. Ability to manage multiple priorities independently

WORKING ENVIORNMENT:

24. Office-based role in Düsseldorf with regular interaction across finance, operations, and quality teams
25. Flexibility for remote work as business needs allow
26. Fast-paced environment with shifting priorities
27. Occasional coordination of travel and on-site logistics
