Why this role exists
PACE is scaling our internal tools and customer-facing workflows. We need a hands-on owner to implement, integrate, and administer core business systems (Jira, HubSpot, HRIS) and to automate cross-tool workflows (n8n). You’ll turn messy, manual processes into clean, measurable, automated flows—and keep them running.
What you’ll own (first 12–24 months)
HR Management/Information System (HRMS/HRIS) implementation
Evaluate vendors, lead implementation with an external partner, map/optimize HR processes (joiners/movers/leavers, time off, org data), integrate with Entra ID and SAP, and own ongoing admin.
HubSpot implementation & ownership
Design, implement, and administer a dedicated HubSpot environment, including architecture design, data quality assurance, and post–go-live administration. External partners may support execution, while you retain ownership of architecture, QA, and ongoing operations.
Customer Management on Jira Service Management (JSM)
Implement JSM as our customer management system; define service catalogs across six lines of business, SLAs, request types, queues, knowledge base, and reporting.
Jira Assets (formerly Insight) for license management
Model products/licenses; implement workflows and webhooks to auto-generate and issue licenses to customers; ensure traceability and auditability.
n8n-driven integrations & automations
Build and operate flows between SAP (legacy), HRIS, Jira, HubSpot, Entra ID, etc. Typical cases: onboarding/offboarding, entitlement provisioning, procurement approvals, data syncs, alerts.
Tool administration & lifecycle
Be the named admin for Jira/JSM, HubSpot, HRIS, and n8n: permissions, config as code where possible, change control, backups, usage hygiene, dashboards, and vendor management.
Process discovery & continuous improvement
Run short discovery sprints, document current vs. target state, define KPIs, and ship incremental improvements that stick.
Day-to-day responsibilities
Translate business needs into workflows, schemas, and automations across Jira/JSM, HubSpot, HRIS, and n8n.
Build, test, and ship production-grade n8n flows (error handling, retries, alerts).
Administer Atlassian Cloud (Jira/JSM/Assets) projects, SLAs, custom fields, forms, portals, and permissions.
Administer HubSpot (objects, pipelines, automations, marketing/sales ops governance) and HRIS (roles, data model, integrations).
Define service catalogs, knowledge base structure, and reporting (SLA/OLA, CSAT, throughput).
Maintain data quality and master data sync with SAP and Entra ID.
Document: diagrams, playbooks, runbooks, and change logs.
Manage vendors/partners; run UAT; plan cutovers; train users.
Must-have qualifications
3–6+ years in business systems / IT applications / digitalization projects.
Hands-on Jira/Jira Service Management admin experience (portals, SLAs, Assets/Insight).
HubSpot working knowledge (administering objects, pipelines, automation).
n8n (or Zapier/Make) experience building non-trivial, fault-tolerant automations and webhooks.
Scripting ability (e.g., JavaScript/TypeScript or Python) to build helpers, APIs, and data transforms.
Proven process mapping & optimization (BPMN/UML or equivalent), with measurable outcomes.
Comfortable owning tool administration (RBAC, audit, backups, change control).
Strong delivery chops: requirements, UAT, cutover plans, go-live support.
Nice to have
Salesforce → HubSpot migration exposure.
HRIS/HRMS implementation experience (any major vendor).
Entra ID / SSO / SCIM provisioning; basic SAP integration patterns.
Experience with Atlassian Assets schema design; license/entitlement workflows.
Project management certification (PMP, PRINCE2, or Agile).
Basic SQL, REST APIs, and Postman familiarity.
Experience in software license generation or fulfillment flows.

Small team, high ownership: you’ll both design and build.
We outsource heavy lifting (e.g., complex migrations) but you own architecture, QA, and admin.
